About The Position

The position involves meeting and greeting patients, families, and visitors, while performing secretarial and related duties to assist both administrative and medical staff. The role requires collaboration with providers and other staff members to ensure smooth operations within the healthcare setting. Responsibilities include obtaining, entering, and verifying patient demographic and insurance information, as well as collecting copays as needed. The position also entails updating and maintaining patient records across various Health Information Systems and distributing these records to other providers and insurance companies in accordance with hospital policy and legal requirements. Additionally, the role involves verifying and processing patient lab orders, scheduling home-draws, and providing patients with educational materials and treatment schedules. The individual will take referrals from medical offices and hospitals for new patients, schedule appointments, and coordinate with insurance companies for prior authorizations. Maintaining communication with patients throughout their treatment and performing other related duties as requested are also key aspects of this role.

Requirements

  • Ability to read, write, and communicate in English.
  • Minimum of 1 year previous data entry/computer experience.
  • Ability to type 30 wpm as demonstrated by a timed test.
  • Completion of Medical Terminology course or pass Medical Terminology exam.
  • One year previous experience in a medical office, clinic, or comparable hospital experience required.

Nice To Haves

  • Six (6) months successful experience with Managed Care, HMOs, and administrative policies, including referral policies, or similar experience is preferred.

Responsibilities

  • Meet and greet patients, families, and visitors.
  • Perform secretarial and related duties to assist administrative and medical staff.

  • Print and distribute patient records to other providers and insurance companies.
  • Verify and process patient lab orders into Health Information System.
  • Schedule home-draws as needed.
  • Provide patients with educational materials, treatment schedules, and specimen collection materials.
  • Take referrals from various medical offices and hospitals for new patients.
  • Schedule appointments within an appropriate timeframe.
  • Obtain all pertinent information necessary prior to appointments.
  • Schedule appointments for follow-up, chemotherapy, labs, second opinions, and treatment.
  • Coordinate with insurance companies to obtain prior authorization for imaging appointments.
  • Maintain communication with patients throughout treatment.
  • Answer telephones, screen and direct calls and messages.
  • Provide information according to department policy.
  • Work cooperatively with co-workers and communicate politely with department employees, patients, visitors, and other personnel.
  • Perform other related duties as requested/directed.
