About The Position

Aalis Management Consulting is seeking a highly organized and experienced Secretary Level II to provide comprehensive secretarial and administrative support to senior leadership within the Federal Agency. This role supports Regional and Deputy Regional Directors, Branch Chiefs, District Commanders, and Program Managers, ensuring operational efficiency and compliance with policies.

Requirements

  • Must have a High School diploma, Associates or Bachelors degree with at least 1-2 years of administrative or secretarial support within federal government.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Visio, Access)
  • Experience with law enforcement databases and automated systems
  • Strong document management and reporting skills
  • Familiarity with federal office operations and interagency coordination
  • Understanding of organizational structure and mission support functions
  • Ability to compile, organize, and present complex data sets

Responsibilities

  • Perform independent administrative tasks with minimal supervision
  • Serve as liaison for office services, procedures, and inquiries
  • Manage calendars, schedule meetings, and coordinate logistics for senior staff
  • Prepare meeting agendas, minutes, and follow-up action tracking
  • Monitor and route incoming calls and correspondence
  • Submit and track IT service requests for equipment installation, repair, and maintenance
  • Support WebTA timekeeping functions including data input, validation, and payroll coordination
  • Maintain automated systems for tracking program data, milestones, and reporting deliverables
  • Compile and analyze statistical, budgetary, and performance data
  • Prepare monthly expense reports and assist with fund tracking
  • Conduct system queries and data extraction from law enforcement and compliance databases
  • Support reporting for the National Security Countermeasures Program
  • Coordinate SES-level travel approvals and draft travel authorizations
  • Review expense reports for accuracy and compliance
  • Act as travel and office supply coordinator for Mission Support Branch
  • Draft routine correspondence, reports, and special projects
  • Maintain filing systems and organize program documentation
  • Assist with performance plans, development plans, and evaluations
  • Support training coordination including venue setup and materials distribution
  • Interface with Mission Support staff, including finance, property, human capital, and compliance teams
  • Provide backup support to Executive Assistant and SIP/ABC coordinators
  • Respond to procedural inquiries related to Concur, WebTA, SharePoint, and other systems
