About The Position

Florida Atlantic University is seeking a Secretary - Languages, Linguistics & Comp. Literature - Boca Raton, FL. The part-time Secretary for the Department of Languages, Linguistics & Comparative Literature provides essential front‑office support, manages departmental communications, and maintains organized digital and physical records. This role assists students, faculty, and visitors; handles data and document processing across multiple university systems; and supports departmental scheduling, events, and daily operations. By ensuring smooth workflow and responsive service, the Secretary helps the department function efficiently and effectively.

Requirements

  • High school diploma and two years of appropriate experience required.
  • Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Responsibilities

  • Office receptionist duties including: answering phone, responding to email and phone queries, greeting visitors, maintaining office supply inventory, making copies, scanning documents, organizing digital and physical files.
  • Submitting space allocation/scheduling requests, working with faculty to submit special-event permissions requests, keeping departmental room-booking calendars up to date, contacting Facilities Management with special requests, preparing new door nameplates with office hours for each academic term, and maintaining up-to-date faculty/staff phone trees.
  • Department-wide document and data collection, and record-keeping (primarily in electronic format, but sometimes in physical format as well). Requires use of numerous online databases and portals, including Crystal Reports, Banner, LeapAhead, Course Leaf scheduling software, Canvas, Workday, Microsoft Teams, and others as they arise. Training will be provided for all job-related databases and portals. Includes the processing, organization, and maintenance of confidential student records (electronic and physical), department-wide data sets including book orders, class rosters, DIS title requests, discrepancy reports, academic warnings, SPOT reports, and final grade documentation.
  • Student support duties, including: following up on student inquiries in all formats (email, phone, and in-person); serving as communication link between department, students, academic advisors, and Office of the Registrar; maintaining and updating student academic petitions as needed; communicating with faculty regarding permissions override requests; handling student queries regarding the foreign language requirement in coordination with the Department Coordinator.
  • Provides support to Chair on an as-needed basis for special events planning and community outreach initiatives; assists with maintaining departmental website pages.
  • Other job-related duties as assigned.
