About The Position

Red Pulley has an immediate opening for a Secretary III / Administrative Assistant to support the Naval Surface Warfare Center (NSWC) Corona Division. NSWC Corona serves as the Navy’s premier independent assessment organization, responsible for evaluating the warfighting readiness of ships and aircraft across their entire lifecycle. In this role, the Secretary III serves as a critical administrative resource, ensuring the smooth operation of office functions, managing correspondence, coordinating travel, and maintaining records. This support enables technical and mission personnel to remain focused on delivering operational outcomes. This position is based within a secure government facility and involves close collaboration with both military and civilian Navy personnel. The role plays a key part in the daily operations of laboratories that directly support Fleet readiness. Candidates who demonstrate strong attention to detail, reliability, and a commitment to accuracy will be well-suited for this position. This role is subject to applicable government-mandated wage determinations and benefit requirements based on location.

Requirements

  • High School Diploma or GED equivalent required
  • Minimum one (1) year of general office or administrative support experience
  • Must hold or be eligible to obtain a SECRET security clearance. Active SECRET clearance at time of hire strongly preferred. Clearance must be maintained throughout the period of performance
  • Minimum Tier 1 (T1) or equivalent background investigation required for access to CUI or areas critical to command operations
  • Must be available for on-site work Monday through Friday, 0800–1600 local time. Remote work is not authorized.
  • U.S. Citizenship required (security clearance eligibility)

Nice To Haves

  • Two (2) or more years of administrative support experience in a DoD or federal government environment
  • Experience with Navy ERP, Defense Travel System (DTS), or ServiceNow in a government setting
  • Experience supporting senior military or civilian leadership, technical laboratory staff, or program offices
  • Proficiency in Microsoft Office Suite : Word, Excel, Outlook, and PowerPoint
  • Familiarity with DON correspondence standards and DON Records Management requirements
  • Active SECRET clearance in good standing

Responsibilities

  • Perform office operations including operating equipment, filing, word processing, sorting and distributing mail, and reception duties
  • Screen telephone calls, incoming correspondence, and visitors; exercise judgment in routing to appropriate staff
  • Provide uninterrupted telephone coverage Monday through Friday, 0800–1600 local time
  • Update telephone directories and coordinate base office relocations via ServiceNow
  • Make complete arrangements for meetings, conferences, and events at the command level
  • Ensure agendas, security clearances, briefing materials, and visual aids are prepared and in place prior to each event
  • Prepare meeting minutes, track action items, and distribute materials following video teleconferences and in-person meetings
  • Review, format, and edit official documents to ensure clarity, accuracy, and compliance with standards
  • Collect information from files and staff to respond to routine inquiries; refer non-routine requests to appropriate personnel
  • Prepare supporting documents and track action items related to communications and meetings
  • Perform data entry and validation of employee timekeeping records in designated systems
  • Ensure accuracy and compliance with organizational policies and procedures
  • Prepare and coordinate travel orders for employees utilizing the DefenseTravel System (DTS)
  • Coordinate and transmit security clearance verification and supporting documentation through the Defense Information System for Security (DISS)
  • Enter and track shipping and logistics data in appropriate systems
  • Ensure proper packaging and handling of materials in accordance with guidelines
  • Assist with preparation and submission of supply requests
  • Maintain recurring internal reports including time and leave records, equipment listings, correspondence controls, and training plans
  • Organize and manage records in accordance with established policies and procedures
  • Support documentation and reporting of incidents or non-routine events
  • Support building representative duties including facility maintenance trouble calls via ServiceNow
  • Assist with safety building representative and fire warden duties for assigned buildings
  • Provide data entry and support for reports, dashboards, and performance metrics
  • Assist in preparing recurring deliverables, including status, financial, and personnel reports
