About The Position

Under the direction of an assigned supervisor, perform a variety of secretarial and clerical duties in support of an assigned program or function; organize and coordinate office activities and communications. DISTIGUISHING CHARACTERISTICS Secretary I is the experienced-level classification in the secretarial job family. Incumbents provide secretarial support to the administrator of a specialized program or function. Secretary II-Department is the advanced level class in the series. Incumbents perform secretarial duties for the director of District-wide, multi-function programs

Requirements

  • Knowledge of: Modern office practices, procedures and equipment.
  • Knowledge of: Correct English usage, spelling, grammar and punctuation.
  • Knowledge of: Financial and statistical recordkeeping techniques.
  • Knowledge of: Oral and written communication skills.
  • Knowledge of: Operation of office machines including microcomputer, peripheral equipment and software.
  • Knowledge of: Interpersonal skills including tact, courtesy and patience.
  • Knowledge of: Telephone etiquette and receptionist techniques.
  • Ability to: Perform responsible secretarial duties for the administrator of an assigned program or function.
  • Ability to: Organize and coordinate office activities and communications.
  • Ability to: Interpret, apply and explain rules, regulations, policies, and procedures related to the assignment.
  • Ability to: Prepare, type, edit and proofread reports, forms and other materials.
  • Ability to: Compose routine correspondence independently.
  • Ability to: Communicate effectively both orally and in writing.
  • Ability to: Operate office machines including computer equipment.
  • Ability to: Understand and carry out oral and written instructions.
  • Ability to: Establish and maintain cooperative and effective working relationships with others.
  • Ability to: Type at a corrected speed of 45 words per minute.
  • Ability to: Prepare and maintain statistical and financial departmental records and files
  • Training and Experience: Any combination equivalent to graduation from high school and two years of increasingly responsible clerical or secretarial experience.

Responsibilities

  • Perform a variety of responsible secretarial and clerical duties in support of an assigned program or function.
  • Prepare, format, type, edit and proofread materials such as reports, correspondence, memoranda, requisitions and bulletins.
  • Compile information from various sources and inclusion in departmental records and reports.
  • Review documents for accuracy, completeness and conformance to established procedures.
  • Assemble, organize, tabulate and record statistical data.
  • Perform receptionist duties, greeting parents, faculty, administrators and the general public.
  • Screen visitors and telephone calls.
  • Respond to inquiries and provide information concerning policies, procedures, standards, rules and regulations related to assigned program or function.
  • Develop and maintain filing systems and records including materials of a confidential nature.
  • Monitor and maintain assigned budgets and accounts and other financial records.
  • Compose correspondence and prepare reports independently or from oral instructions.
  • Operate a variety of office machines including typewriter, copiers, calculator, microcomputer and peripheral equipment.
  • Coordinate calendar for assigned administrator, scheduling appointments, meetings and travel arrangements as required.
  • Order and store office supplies and equipment for assigned program.
  • Perform related duties as assigned.
