About The Position

To provide efficient administrative and organizational support to the Multilingual Programs and Academics Department by coordinating funding processes, ensuring compliance, and promoting effective communication and a positive department culture that supports student learning.

Requirements

  • High school diploma or GED
  • Proficient skills in keyboarding, word processing, technology, and file maintenance
  • Effective organizational, communication and interpersonal skills
  • Ability to follow written instructions
  • Ability to operate multi-line phone system
  • Bilingual (English/Spanish) required
  • Excellent multitasking and problem-solving abilities.
  • Professional demeanor with strong interpersonal skills

Nice To Haves

  • Three (3) years of successful secretarial or clerical experience preferably in a related field

Responsibilities

  • Organize and manage the daily administrative and recordkeeping activities for the MLP and Academic Programs Department.
  • Maintain accurate financial, budget, and program-related records, performing routine bookkeeping and purchasing tasks as assigned.
  • Prepare, compile, and submit required reports and documentation for federal, state, and local compliance (e.g., Title III, BEA, and other grant-funded programs).
  • Assist in the development, review, and maintenance of board policies and procedures related to Bilingual, ESL, and other academic programs.
  • Collaborate with Finance, Personnel, other Depts, and Payroll to prepare and process coding forms to ensure accurate budgeting and payroll allocations.
  • Maintain accurate department data files, inventory, and funding documentation for auditing and reporting purposes.
  • Draft, edit, and prepare correspondence, forms, reports, and communications for the MLP and Academic Programs and departmental staff.
  • Manage incoming calls, emails, and visitors in a professional manner, providing information or directing inquiries to the appropriate staff member.
  • Receive, sort, and distribute mail, memos, and documents in a timely and organized manner.
  • Assist in scheduling meetings, maintaining calendars, and coordinating logistics for department events, professional development, and committee meetings.
  • Maintain confidentiality of information at all times.
  • Support a positive, service-oriented department culture that fosters collaboration and clear communication among staff, campuses, and external partners.
  • Participate in staff development and training programs to enhance skills and understanding of academic and multilingual program operations.
  • Assist in the preparation of presentations, agendas, and materials for district and department meetings.
  • Keep informed of and comply with all state, federal, and district policies and regulations relevant to assigned job functions.
  • Follow district safety protocols and emergency procedures
  • Other duties as assigned
