About The Position

The Secretary 3 - Main Office/Receptionist position at Omaha Public Schools is a full-time role responsible for performing a variety of secretarial duties in a school environment. This includes managing office communications, maintaining student records, and providing support to staff and students. The role requires strong organizational and communication skills, as well as the ability to work effectively in a diverse environment.

Requirements

  • High school diploma or GED equivalent is required.
  • Proficient PC computer knowledge is required.
  • Demonstrate proficiency in the English language to read and communicate with others.
  • Excellent organizational skills and time management abilities.
  • Strong oral and written communication skills.

Nice To Haves

  • Demonstrate proficiency in the Spanish language to read and communicate with others is preferred.
  • Previous experience working in an office setting is preferred.
  • Previous experience working in a public school setting is preferred.
  • Knowledge of District computer software preferred.

Responsibilities

  • Serve as the building receptionist, greeting and assisting office visitors in a professional manner.
  • Respond to customer service needs over the phone in a timely manner.
  • Maintain student demographic information in the District software system.
  • Monitor and use the security radio as needed.
  • Assist internal callers with classroom emergencies.
  • Extract students from class as needed to meet with administrators.
  • Provide authorization for students to return to class after visiting the main office.
  • Use copy, printer, and fax machines regularly, troubleshooting and conducting basic maintenance as needed.
  • Assist staff with office machinery as needed.
  • Create reports and records data as appropriate.
  • Use mail merge function to create labels, certificates, mailings, and files regularly.
  • Assist with sorting and distributing USPS and interschool mail as well as package deliveries.
  • Create programs, rosters, certificates, and other word processing documents.
  • Enter student fines into District software as needed.
  • Organize and distribute student activity cards.
  • Document lost and found items turned into the office.
  • Assist with student cumulative folders.
  • Use intra-school communication systems as required.
  • Serve as a backup to create school bulletin and the data/registrar position.
