About The Position

The Secretary 3 - Attendance position is a full-time role responsible for a variety of secretarial duties within a school environment, focusing on attendance management and student record maintenance. The role requires effective communication and organizational skills to support the building principal and interact with students, parents, and staff. The position involves both routine office tasks and specific responsibilities related to student attendance and enrollment.

Requirements

  • High School Diploma or GED equivalent is required.
  • Previous experience working in an office setting is preferred.
  • Previous experience working in a public school setting is preferred.
  • Proficient PC computer knowledge is required.
  • Demonstrate proficiency in the English language to read and communicate with others.
  • Demonstrate proficiency in the Spanish language to read and communicate with others is preferred.
  • Knowledge of District computer software preferred.
  • Ability and patience to work with students and parents.
  • Excellent organizational skills.
  • Demonstrate a positive attendance record and prior work history.
  • Excellent oral and written communication skills.
  • Displays a significant degree of professionalism and confidentiality.

Responsibilities

  • Responds to walk-in, telephone, doorbell, and intercom customer service needs in a timely manner.
  • Updates student records and attendance in District software systems.
  • Maintains attendance records for field trips.
  • Enrolls new students in District software systems.
  • Processes attendance records and requests.
  • Prepares and sends Referral of Absence Behavior (RAB) and GED letters.
  • Maintains Student Information Packet (SIP) and Handbook cards.
  • Works with office staff to distribute communications to students, parents, and staff.
  • Completes copy requests for teachers and administrators as needed.
  • Uses intra-school communication systems as required.
  • Uses mail merge function to create labels, certificates, mailings, and files regularly.
  • Monitors and directs the work of student office aides.
  • Follows oral and written directions accurately.
  • Serves as a backup for other office staff as needed.
