Administration of Human Resource Programs

The Secretary for Alternative Programs & Technology Department supports and complements the goals and vision of the Board of Education through the promotion of excellent patron service. This role is responsible for providing exceptional secretarial support as well as organizing, validating, and maintaining records and data as defined by the Supervisors.

  • Maintain a positive interface with the public and serve as the welcoming and administrative presence at the front desk for students and families arriving for the AIP.
  • Handle telephone contacts including, but not limited to, screening, responding to, and directing calls as necessary.
  • Serve as the initial point of contact for technology department work orders, tracking requests, and ensuring timely resolution.
  • Perform word processing, faxing, proofreading and photocopying.
  • Sort and process regular and overnight mail on a daily basis.
  • Create and maintain AIP and Technology department files in accordance with established guidelines and retention requirements.
  • Prepare professional correspondence, including, but not limited to, memos and letters addressing various issues.
  • Manage scheduling for the recording of the SPS Podcast.
  • Coordinate department meetings and manage calendars for multiple supervisors.
  • Manage the professional learning room calendars - including scheduling and ensuring appropriate set up for meetings.
  • Enter, develop, and distribute varied reports using ALIO, PowerSchool, and Google Workspace for Education, including, but not limited to, budget/accounting reports.
  • Maintain detailed technology inventory records, assisting with asset tracking and new equipment check-ins.
  • Perform ordering and receiving of materials/supplies via purchase order management system.
  • Assist with technology inventory management, including checking in new equipment and updating asset records.
  • Manage the intake and outtake process for temporary students in the Alternative Instruction Program (AIP), including attendance reporting to base schools, processing student records, coordinating student transfer with base schools, and ensuring all required paperwork is complete.
  • Maintain confidentiality and discretion when handling sensitive student information, especially regarding disciplinary matters and student records.
  • Prepare and distribute reports in connection with student attendance, referral and lunch.
  • Coordinate food service delivery/pick up with Soto School.
  • High School Diploma required. Associate Degree preferred.
  • 1-3 years solid business office experience preferred.
  • Demonstrated success working in a time-sensitive environment requiring minimal direction.
  • Ability to identify, execute and manage deadlines, action items, and related schedules which ensure timely processing of required actions.
  • Ability to identify, prioritize and complete multiple projects on-time and within required deadlines.
  • Ability to communicate effectively with all organizational levels.
  • Demonstrated proficiency using Google Suite including Docs, Sheets, and Slides.
  • Demonstrated knowledge using PowerSchool and Alio softwares or willingness to learn and increase proficiency in necessary software, in accordance with job demands.
  • Proficiency with Gmail, including creating contacts, groups, and calendar entries.
  • Demonstrated ability to maintain a calm and professional demeanor while interacting with students, parents, and staff, particularly in stressful or sensitive situations.
