BASIC FUNCTION: Under the direction of the Principal or Director, perform a wide variety of clerical assistance duties at an assigned school or program office involving frequent and responsible contact with students, staff and the general public. DISTINGUISHING CHARACTERISTICS: Incumbents in the School Office Assistant I classification perform a variety of clerical assistance duties for an elementary school or Child Development Center office. Positions in the class typically assist a School Office Manager in the operation of the office. Incumbents in the School Office Assistant II classification provide clerical assistance to a middle school where the complexity is increased because of the variety and types of student programs.

  • EDUCATION AND EXPERIENCE:
  • Any combination equivalent to: graduation from high school including or supplemented by clerical training and one year of clerical experience involving frequent contact with the public.
  • LICENSES AND OTHER REQUIREMENTS:
  • Valid First Aid and CPR certificates within the probationary period.

Nice To Haves

  • Some positions in this classification may require bilingual skills in a designated second language. Bilingual skills are preferred. However, where Home Language Survey indicates more than 70% speak language other than English, bilingual skills are required.
  • Some positions in this classification may require a valid California driver's license, evidence of appropriate automobile insurance based on DMV regulations and insurable by the District liability insurance carrier.

Responsibilities

  • Perform a variety of clerical assistance duties for an elementary school or child development center involving frequent and responsible contact with students, staff and the general public.
  • Provide assistance to an Office Manager in the operation of the school or program office; maintain attendance and registration records; provide first aid assistance in the absence of health personnel and according to established guidelines.
  • Answer phones and take messages or receive needed information; provide information and assistance to students, teachers, parents and others regarding assigned office or program; explain established policies and procedures.
  • Translate and interpret both oral and written documents and communications for teachers, parents, students and administrators as required.
  • Assist students and parents in correct procedures for completion of forms, applications and registrations; review complete forms for accuracy and completeness.
  • Compile and maintain a variety of statistical records and reports relating to assigned office or program.
  • Contact substitute teachers and instructional assistants needed at program sites; assist in the compliance with State adult-child ratios.
  • Maintain appropriate files, forms, cards and records; operate computer terminal to input and update a variety of data.
  • Collect and account for fees, fund-raising moneys and other cash as assigned; receive monies, issue receipts, balance, reconcile and post to ledgers; prepare deposits as needed; maintain related financial records.
  • Type, duplicate and distribute a variety of correspondence and documents, including letters, notices, articles, forms, lists and proposals.
  • Operate a variety of office machines, including typewriter, calculator, copier and computer terminal.
  • Receive, sort and distribute mail; order, maintain and distribute materials, supplies and equipment as directed; pick up and deliver reports and supplies as assigned.
  • Perform related duties as assigned.
