About The Position

Under the guidance of the School-Age Director, the School-Age Area Coordinator is responsible for organizing, delivering, and ensuring the quality of YMCA Before and After School and Adventure Camp programs for members, program participants, and the wider community. The School-Age Area Coordinator will directly supervise the Site and Group Leaders of the assigned programs. This position requires close collaboration with Youth Achievement leadership to ensure a unified program and experience for all participants. To support the branches, programs, and people they serve, regular remote work arrangements are not available for this position. While occasional remote work may be permitted with prior approval from the supervisor, coordinators are required to maintain a consistent on-site presence and should not expect regular remote work arrangements.

Requirements

  • Minimum High School Diploma or GED required
  • 1-2 years related experience in leadership in a childcare setting
  • Experience in effectively managing a staff team
  • Proficient in everyday office technology with hands-on experience using computers and Google Workspace (Docs, Sheets, Slides, Gmail) or equivalent productivity tools
  • Training required upon hire: IL Gateways Child Development Health & Safety, IL DCFS Child Abuse and Neglect/Mandated Reporter.
  • Any additional certifications that are required by the state of Illinois
  • Current Praesidium Academy training
  • CPR, AED and First Aid Certifications required within 90 days

Responsibilities

  • Model YMCA core values and Service Standards in all interactions.
  • Supervises and schedules program staff; involved in staff professional development, training, mentoring, and orientation.
  • Conducts regular site visits to lead and develop staff; provides support, guidance, and feedback.
  • In partnership with supervisor, organizes and leads regular meetings with Site Leads.
  • In partnership with supervisor, conducts one-on-one meetings with Site Leads for support, performance monitoring, and professional growth.
  • Address conflicts promptly, provide clear expectations, and hold team accountable to operational goals.
  • Follows all organizational policies, procedures, and standards across operations, finance, human resources, and program management.
  • Develops and manages daily and weekly site schedules.
  • Reviews and approves staff timecards for payroll processing.
  • Oversees implementation of curriculum and program activities.
  • Fosters relationships with school administrators, teachers, and parents.
  • Provides on-site support and substitutes when staff shortages occur.
  • Develops and maintains site operation guides.
  • Manages ordering and distribution of supplies and inventory.
  • Monitors site expenses and ensures operations remain within the approved budget while maintaining quality program delivery.
  • Utilizes registration, account, and attendance systems.
  • Ensure compliance with state, agency, and YMCA requirements through systematic record-keeping, audits, and quality control processes.
  • Collaborates with partners and communicates with families.
  • Attends community events, job fairs, and promotes programs.
  • Maintain office and program spaces, supplies, and resources to ensure a welcoming and functional work environment for staff and program operations.
  • Respond in the event of an emergency.
  • Prepare self and team members to respond by training on the Emergency Response Plan.
  • Promptly report damaged equipment or safety hazards.
  • This position requires travel between sites and to off-site meetings, trainings, or association events as needed.
  • Ensure proper facility opening, closing and security.
  • Ensure uniform and personal appearance are clean and professional.
