About The Position

The Scholarship Manager supports UW-Whitewater by ensuring effective management of scholarships and current-use funds, enhancing donor stewardship, and helping students successfully navigate scholarship opportunities. This role, housed in Strategic Enrollment Management, partners closely with campus colleagues to maximize fund utilization, strengthen donor relationships, and integrate financial literacy into the student scholarship experience.

Requirements

  • Bachelor's degree required; experience in higher education, nonprofit, business, or related field preferred.
  • Strong organizational, reporting, and communication skills.
  • Ability to work effectively across multiple units, balancing donor, student, and institutional priorities.
  • Commitment to donor stewardship, student success, and financial literacy education.
  • Ability to interact respectfully with people from diverse socioeconomic, cultural and ethnic backgrounds.
  • Willingness and ability to be an active participant in following applicable safety rules and regulations, including necessary training and drills.

Responsibilities

  • Manage donor-funded and institutional scholarships, including applications, selection, awarding, and compliance.
  • Maintain databases tracking eligibility, disbursements, renewals, and fund performance.
  • Serve as coordinator with Financial Aid, University Relations, colleges, and campus departments.
  • Collaborate with Marketing, Enrollment & Retention, and Communications to promote opportunities and improve access.
  • Oversee stewardship reporting cycles with Finance, Advancement Services, and Communications.
  • Prepare high-level reports on utilization, impact, and fund performance for internal and external stakeholders.
  • Serve as a direct resource for students navigating scholarship opportunities, including application guidance and award process questions.
  • Collaborate with Enrollment & Retention, Financial Aid, One Stop, and Career Services to integrate financial literacy and scholarship awareness into student programming.
  • Develop and deliver student-facing communications, workshops, or resources that improve scholarship accessibility and increase retention.
  • Collaborate with institutional financial support programs, such as Warhawk Emergency Fund, to strategically support students.
  • Coordinate annual stewardship reports and personalized donor updates, highlighting student impact.
  • Support student thank-you letters and donor recognition events, including the annual scholarship celebrations.
  • Work closely with University Relations colleagues to ensure alignment of funds with campaign and university priorities.
  • Partner with ITS and Financial Aid to delegate technical data entry and system administration tasks.
  • Identify opportunities for process improvements that enhance efficiency and student experience.
  • Contribute to Enrollment & Retention strategies by sharing data and insights on scholarship impact.
  • Oversees scholarship activities to ensure appropriate use of resources to align with and accomplish recruitment and retention goals and meet donor intent, as well as ensure compliance with policies and regulations
  • Provides support in the administration of the school/college component of the electronic scholarship system including the application, awarding process, and donor communication
  • Builds strong relationships with campus partners, academic departments, Human Resources, Business Services, and external stakeholders to ensure effective practices in scholarship activities
  • Assists with the training and support for units and students in use of the scholarship system
  • May assist with budgetary oversight for the school/college
  • Works with internal stakeholders to identify issues and work towards solutions to problems as they arise in all levels of scholarship activities including student application processes, application review, scholarship awarding, account reconciliation, and donor communication and outreach
