About The Position

Reporting to the Associate Director of Financial Aid Counseling and Advising, and receiving work lead direction from the Assistant Director of Scholarship Programs, the Scholarship Analyst supports the San José State University Scholarship Program by coordinating the administration, implementation, and communication of scholarship processes. This position manages the NexGen scholarship platform, maintains applicant and scholar data, and ensures the timely and accurate processing of awards. The Analyst also provides customer service and operational support to the Financial Aid and Scholarship Office, assisting students, staff, and faculty to ensure a smooth and student-centered scholarship experience.

Requirements

  • Ability to communicate with constituents in a professional and respectful manner
  • Thorough knowledge of English grammar, business writing, punctuation and spelling
  • Ability to compose and appropriately format correspondence and reports
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections
  • Working knowledge of software applications, such as word processing, spreadsheets, graphics, and database management.
  • General knowledge of applicable University policies and procedures
  • Working knowledge of budget policies and procedures
  • Ability to perform accurately in a detail-oriented environment
  • Ability to coordinate and prioritize multiple administrative and clerical tasks for a variety of policies and procedures where specific guidelines may not exist
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature
  • Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies.
  • Strong oral communication skills.
  • Must possess excellent customer service and public relations skills
  • A bachelor's degree and/or equivalent training
  • Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs

Nice To Haves

  • Bachelor’s degree
  • Two (2) years of professional work experience in student services or a related field
  • Two (2) years of experience in a high volume setting providing excellent customer service in higher education or a related environment
  • Detailed knowledge of databases (i.e., SIS, Banner, PeopleSoft, FileMaker Pro, Excel Spreadsheet) or comparable databases
  • Strong written and oral communication skills

Responsibilities

  • Administer and maintain the SJSU Scholarship platform (NexGen), including data imports, updates, and troubleshooting
  • Support scholarship coordination, review, and award processing
  • Respond to inquiries and provide guidance to students, faculty, and campus partners
  • Assist with outreach, training, and workflow improvements
  • Maintain compliance with university, state, and federal policies
