The Schegistrar I position at WellSpan Health involves scheduling and registering patients in advance for services provided throughout the organization. The role requires exceptional customer service practices and a professional representation of WellSpan. The position is full-time, with a schedule from Monday to Friday, 11:30 am to 8 pm.

  • Answers and manages a high volume of fast-paced incoming phone calls to the center.
  • Places outbound phone calls when assigned.
  • Provides exceptional customer service by identifying and addressing patient needs in a professional, positive, and caring manner.
  • Provides scheduling services for various diagnostic/ancillary service lines across the organization.
  • Conducts patient interviews by telephone to collect accurate demographic and financial information for registrations.
  • Reviews estimates and informs patients of financial responsibilities for services, collecting payments during the scheduling and registration process.
  • Explains insurance coverages and requirements for pre-certifications/pre-authorizations.
  • Schedules, registers, and reviews estimates within one contact whenever possible.
  • Enters and maintains detailed information on confidential records for patients.
  • Provides necessary information to patients such as preparation instructions, arrival times, and directions to sites.
  • May assist in managing Order Depots, including triaging orders and processing duplicates.
  • Manages all pre-registration and pre-admission work queues within the Electronic Health Record - Epic.
  • Manages automated call system daily for scheduling and registration phone calls.
  • Completes registrations via the online portal, MyWellSpan.
  • Understands and enters various types of registrations based on services provided.
  • Verifies insurance coverage utilizing Real Time Eligibility (RTE).
  • Contacts physician offices or other WellSpan departments to obtain additional information for continuity of care.
  • Uses secure messaging in Epic to communicate with patients.
  • Communicates with clinical and front office teams to ensure proper scheduling.
  • High School Diploma or GED Required.
  • Less than 1 year of work experience Required.
  • Completes Medical Terminology Course within 1 year Required.
  • Excellent communication and interpersonal skills.
  • Typing and basic computer skills.
