About The Position

Examinetics is looking for a professional and client focused individual to join our team as a Scheduling & Operations Assistant! This position will be an in office role at our corporate office in Overland Park, KS. The Scheduling & Operations Assistant will be responsible for ensuring that services are delivered in a quality, timely, and efficient manner. Requirements

  • High school diploma required.
  • Minimum two (2) years of customer service experience.
  • Strong interpersonal skills and communication skills, both oral and written.
  • Strong organizational, problem solving, and telephone skills.
  • Ability to coordinate multiple tasks simultaneously.
  • Previous computer experience, including MS Word and Excel.
  • Ability to operate basic office machines and possess accurate typing skills (40 WPM).
  • Experience in proofreading and editing documents.

Responsibilities

  • Assist the Manager of Scheduling and Scheduling Specialist in maintaining an efficient and effective work environment.
  • Provide superior customer service, demonstrating professionalism, helpfulness, responsiveness, and care to both internal and external customers.
  • Perform assigned administrative tasks such as but not limited to preparing client letters, packets, testing materials, preprints, and drafting client acceptance letters for all OSMS clients.
  • Responsible for creating/maintaining/distributing the Operation Orders revisions, add units, set codes, new instructions, etc.
  • Print calendars and disperse to units and appropriate office personnel.
  • Maintain files for the unit disk PDF work orders from Navision, create disposition forms, operation orders, and attachments.
  • Schedule appointments for eligible participants, make call-out appointments from assigned lists, according to established procedures.
  • Complete all necessary records, reports, and schedules accurately.
  • Assist as needed in all aspects of customer service to ensure that client expectations are met, including conducting post-service calls and responding to client surveys (compliments and complaints).
  • Coordinate travel logistics, including booking flights, rental cars, and hotel accommodations, and utilize Google Maps and other navigation tools to plan routes and optimize scheduling.
