About The Position

Under moderate supervision, the Scheduling Intake Coordinator I is responsible for coordinating and managing all aspects of patient scheduling within the infusion center. This role ensures patients are scheduled accurately for labs, evaluation and management (E/M) visits (telehealth and in-office), infusions, injections, and financial assistance facilitation. This position plays a critical role in maintaining seamless communication between providers, payers, patients, and internal clinic operations to ensure timely and accurate patient care while strictly adhering to AleraCare’s scheduling policies and insurance/copay assistance requirements.

Requirements

  • High school diploma or equivalent.
  • 2+ years of experience in a medical office, specialty pharmacy, infusion center, or healthcare intake setting.
  • Strong verbal and written communication skills, interpersonal relationship skills, and problem-solving ability.
  • Proficiency with EMR systems and insurance portals.
  • Knowledge of insurance benefits, prior authorization, and copay assistance program processes.
  • Excellent organizational, time management, and multitasking skills.

Responsibilities

  • Schedule patient appointments for lab testing, telehealth and in office E/M visits, and drug infusion and injection treatments based on clinic availability and medication shipment dates.
  • Provide accurate appointment information, assist with rescheduling, and ensure continuity of care.
  • Assist with cancellation management and urgent rescheduling needs.
  • Contact physician offices to request missing clinical notes, lab results, or prescription refills.
  • Inform patients of insurance coverage details, out-of-pocket expenses, and secure financial assistance.
  • Enroll eligible patients in copay assistance programs and research other available financial support resources.
  • Collaborate with other intake groups, authorization, and billing teams to ensure scheduling accuracy and compliance.
  • Serves as the main point of contact for inbound telephone calls from providers, payers, and patients, routing appropriately and addressing inquiries professionally.
  • Receive and manage medication shipments from inventory within the clinic setting, adhering to company policy and safety standards.
  • Maintain accurate documentation of all communications, transactions, and patient account details.
  • Participate in departmental PI (Performance Improvement) activities as requested.
  • Follow all agency and departmental policies and procedures and ensure compliance with accrediting bodies, state, federal, OSHA, and other regulatory standards.
