IIA is seeking an experienced Scheduling Coordinator to join our Fire Department group. This is a remote work position in one of the following locations: Charleston, SC; Columbia, SC; Greenville, SC or Charlotte, NC. Our Fire Department group has been the trusted leader in fire truck inspections for decades and offers top-to-bottom inspections. We provide fire hose, fire pump and nozzle/appliance testing services to fire stations. Position Summary The Scheduling Coordinator is a support position that performs a wide array of operational / office administration tasks in support of the assigned business unit. Depending on the business cycle / time of year, daily job tasks may change. The Scheduling Coordinator will work closely with the Operations Manager and other operations personnel to ensure customer and internal needs are met.

Requirements

  • High School diploma or equivalent
  • Minimum of 1 to 2 years of dispatch / scheduling experience.
  • Accounting experience for bank deposits and past due collections.
  • Professional attitude and strong interpersonal skills to communicate clearly and work with customers and field operations.
  • Attention to detail and accuracy, communication skills, judgment and problem solving, and planning and organizing.
  • Able to manage time effectively, organize, and prioritize workload.
  • Able to work independently or as part of team, under pressure performing multiple tasks, meeting multiple deadlines.
  • Proficiency with Microsoft Office programs including skills to navigate web-based programs.

Nice To Haves

  • Operating knowledge of Salesforce and NetSuite.

Responsibilities

  • Support scheduling and operational moves of manpower and / or equipment including communication of daily weather impacts.
  • Monitor customer account activity in Salesforce.
  • Support daily financial activities such as bank deposits, payables, and month close.
  • Manage accounts receivable ensuring past dues are minimized and reduced week over week.
  • Provide general office support for items such as answering the phone, records filing, receiving mail, etc.
  • Support the preparation of customer reports.
  • Support procurement of items as required to execute on customer jobs.
