About The Position

The Scheduling Coordinator at Ally Pediatric Therapy serves as the first point of contact for clients and families, responsible for creating and managing therapy schedules for children with autism and other childhood disorders. This role is crucial in ensuring smooth clinic operations by coordinating staff schedules, managing cancellations, and maintaining necessary supplies, all while delivering excellent client experiences.

Requirements

• Ability to work M-F from 7:00am to 4:00pm.
• Must be incredibly efficient, organized, and focused on the details while managing a complicated process that involves internal and external stakeholders.
• Experience working in scheduling systems to manage resource allocation across large groups.
• Excellent problem-solving and communication skills.

Responsibilities

• Draft and maintain schedules that meet clinical recommendations and labor utilization.
• Manage call-offs and cancellations minimizing reduction in client or staff hours.
• Manage scheduling inbox and update the client activity log.
• Notify families of cancellations within 30 minutes of notice from staff.
• Send session converting email reminder to staff within 24 hours of session end.
• Enter client schedules in CR and update codes and providers as necessary.
• Enter and maintain staff schedules in Kronos.
• Review and approve or reject timesheet change requests.
• Ensure clinic is clean, organized and fully supplied.
