The Scheduling Coordinator performs a wide variety of functions under the immediate supervision of the Director of Health Services Staffing and Support. This role is essential in the Staffing and Scheduling Department, collaborating with Health Services Leadership to plan and organize activities of clinical operations staff to meet staffing needs across all clinical positions. The Coordinator will assist in developing, coordinating, and communicating clinic staff schedules to ensure adequate coverage of Physicians, Clinicians, Support Staff, and Health Services Associates based on staffing criteria. They are advocates for the mission of advancing and protecting sexual and reproductive healthcare for all and may perform other related duties as assigned.

  • Provide logistical support and partnership to Health Center Leadership to ensure adequate deployment of staff and resources.
  • Interface with Health Services Leadership and Human Resources to support effective recruiting, onboarding, training, and scheduling of personnel.
  • Receive and respond to PTO requests and modify schedules as necessary.
  • Inform Health Center Managers of scheduling conflicts and coordinate coverage as needed.
  • Orient, train, and support staff in the use of scheduling software and procedures.
  • Manage tracking and communication of same-day absences, late arrivals, and early departures.
  • Coordinate blocking to the correct staffing model upon publishing of staff schedules.
  • Act as a subject matter expert of the scheduling software system.
  • Respond to communications for the Staffing and Scheduling department.
  • Load and configure EHR templates based on daily staffing mix.
  • Track and coordinate weekend and training incentives for staff.
  • Assist with blocking and unblocking templates based on staffing changes.
  • Two years administrative, office, or medical experience.
  • Experience with staff scheduling.
  • Demonstrated ability to multi-task and manage multiple complex projects.
