About The Position

The Scheduling Coordinator - LPN is responsible for coordinating the scheduling of all Manhattan Surgical procedures. This role ensures that scheduling adheres to facility policies and procedures, meeting the needs of both patients and physicians. Key duties include scheduling appointments and procedures based on facility policies, anesthesia staff availability, patient needs, and physician's block time. The coordinator must assess time and equipment availability, identify potential conflicts, and adjust schedules as necessary. Regular and professional communication with physician offices is crucial for managing scheduled procedures and necessary paperwork. The position requires maintaining a positive attitude and professionalism when interacting with physician offices, coworkers, vendors, and providers. The coordinator is also tasked with notifying the department team leader of any schedule conflicts or concerns specific to OR, Endoscopy, and Pain Management procedures, and delivering daily surgery and procedure schedules to anesthesia providers. Collaboration with Business Office personnel is essential to ensure that required patient registration information is received from physician offices, facilitating preoperative reimbursement determination. The role also involves working closely with the Preop/PACU team leader to ensure all required preoperative paperwork is received, daily review of schedules for history and physicals, tracking inpatient bed availability, and communicating any conflicts or availability with team leaders and physician offices. Furthermore, the coordinator must notify the Operating Room Team Leader, Director of Nursing, Director of HIM, or COO about surgical cases with unusually high supply/implant costs or questionable reimbursement. Additional responsibilities include obtaining monthly on-call schedules from offices and assisting with other assigned duties and in other departments of MSH as needed.

Requirements

  • Registered Nurse or Licensed Practical Nurse licensure in the state of Kansas required
  • High school diploma required
  • BLS certification required
  • Requires language skills adequate for written and interpersonal communication in American English.
  • Require visual and auditory acuity adequate for frequent use of computers.
  • Ability to sit for long periods and to perform desk and office activities.

  • Experience in a surgical facility preferred
  • Computer experience preferred

Responsibilities

  • Communicates with physician offices regularly regarding scheduled procedures and necessary paperwork.
  • Maintains a positive attitude and displays professionalism when communicating with physician offices.
  • Maintains open, professional communication with coworkers, vendors, and providers.
  • Notifies department team leader of any schedule conflicts or concerns for department specific procedures (OR, Endoscopy, and Pain Management).
  • Delivers surgery and procedure schedule to anesthesia providers daily.
  • Works closely with Business Office personnel to ensure that required patient registration information is received from physician offices so reimbursement can be determined as much as possible preoperatively.
  • Works closely with Preop/PACU team leader to ensure all required preoperative paperwork is received.
  • Reviews schedule daily to ensure all history and physicals have been received.
  • Tracks status of inpatient bed availability.
  • Communicates any conflicts with the team leaders.
  • Communicates inpatient bed availability with physician offices.
  • Notifies Operating Room Team Leader, Director of Nursing, Director of HIM, or COO whenever a surgical case is scheduled for which supply/implant costs will be unusually high or reimbursement is questionable.
  • Obtains monthly on-call schedules from offices.
  • Assists with other duties as assigned.
