The Scheduling Coordinator at the Heart Center is responsible for managing the scheduling of various cardiac procedures and outpatient testing, ensuring efficient service delivery while adhering to departmental policies and HIPAA regulations. This full-time position requires a strong understanding of scheduling software and excellent organizational skills to coordinate patient appointments and procedures effectively.

  • Schedule all procedures including cardiac cath, pacemaker, cardioversions, ablations, TEE's, and valvuloplasty.
  • Utilize AllScripts PM and EMR, Fuji Synapse, eCardio, and Paceart for efficient appointment processing.
  • Coordinate all Cardiology clinical patient services according to department procedures.
  • Receive new patient referral information and schedule physician exams in conjunction with testing and clinical procedures.
  • Verify patient information for AllScripts registration during scheduling.
  • Manage scheduling tasks from appointment requests via the website and patient portal.
  • Ensure accuracy on patient accounts when scheduling procedures and appointments.
  • Schedule new consultations and pre-surgical consults, hospital follow-ups, and routine visits.
  • Schedule procedures and testing, including processing laboratory orders and instructing patients on preparation.
  • Initiate pre-authorization for all procedures and follow up to ensure authorization is obtained.
  • Collect patient overlay at check out and verify physician orders on the EMR work list.
  • Schedule follow-up patients in AllScripts and confirm appointments directly with patients.
  • Monitor physician schedules in AllScripts to avoid conflicts with patient appointments.
  • Track and monitor 'no shows' and follow appropriate procedures for these incidents.
  • Process incoming calls from patients, hospitals, and referring physician offices.
  • Record expired patients in AllScripts Registration and inactivate accounts.
  • Participate in the department's daily activities to ensure timely delivery of services.
  • Assist in developing policies and protocols for the department.
  • High School Diploma or GED required.
  • 1 year experience in a medical secretary capacity.
  • Proficiency in Microsoft Word and Excel.
  • Experience with AllScripts PM and EMR software.
  • Knowledge of cardiology procedures and terminology.
  • Competitive hourly wage ranging from $17.60 to $33.48 based on experience.
  • Full-time employment with 40 hours per week.
