About The Position

CentraState Medical Center's Cardiovascular Interventional suite offers the complete integration of leading-edge imaging and technology to diagnose and treat patients with cardiovascular disease and other conditions using minimally invasive alternatives to surgical procedures. Our ‘Suite” team consists of expert Radiologists, Vascular Surgeons, Electrophysiologists, Interventional Cardiologists, Radiology technologists and Registered Nurses collaborating to provide innovative personalized care to our community. The Cardiovascular Interventional Suite is currently seeking a Scheduling Coordinator. Responsibilities include registering and scheduling patients in alignment with established procedures, conducting pre-screenings to determine financial responsibilities, securing legal consents and insurance details, and assigning patient rooms based on defined criteria. Additional duties involve verifying insurance coverage, coordinating with Outcomes Managers, and obtaining pre-certification authorizations as necessary. Full time schedule is Mon-Fri 8am-4pm.

Requirements

  • High school diploma or equivalent required.
  • Knowledge of medical terminology.
  • Strong customer service skills.
  • Strong comprehension of Medical terminology and CPT code procedural classification.

Nice To Haves

  • Hospital experience in registration preferred.
  • Hospital experience in billing preferred.

Responsibilities

  • Schedules IP and OP cases according to departmental needs & availability
  • Coordinates with offices regarding inpatient and outpatient cases.
  • Communicates with offices and Physicians regarding case documentation and follow-up of missing documentation.
  • Accurately utilizes imaging system by scanning all paperwork into correct document and folder during scheduling.
  • Accurately enters diagnosis codes into case entries & Ensures cases are scheduled appropriately confirming surgeon description with CPT code provided by physician's office coordinators.
  • Handles all faxes in a timely manner, taking any necessary action.
  • Coordinates all resources to accurately schedule patient cases.
  • Clearly documents special needs or case requirements.
  • Handles departmental paperwork in a manner consistent with departmental policies and procedures.
  • Troubleshoots all issues related to scheduling process including but not limited to adjusting case times for optimum scheduling.
  • Schedules procedures in appropriate area based on procedural requirements.
  • Ensures departmental checklists, forms, and DT forms are printed and stocked in each procedural area.
  • Reviews scheduled procedures for next day's schedule for accuracy & completeness.
  • Ensures compliance with requirements of CentraState Healthcare System/AHS policies and regulatory agencies in area of responsibility.
  • Works with HIM to prepare Imaging and Reports.
  • Assists with greeting visitors, family members, staff and others and helps directs them to the appropriate location when available.
  • Maintains composure in stressful situation with patients and/or clinicians.
  • Communicates with internal and external contacts as required with a high degree of professionalism.
  • Maintains open communication with other hospital departments to facilitate proper workflow, department needs, and/or patient or visitor movement.
  • Answers calls in a professional and courteous manner, taking any action necessary to ensure the caller's needs have been met.
  • Consolidates and coordinate case volume by communicating with provider offices.
  • Assists Business manager in supplies management: scanning POs and adding them to inventory spreadsheet, assists in checking inventory in on spreadsheet, reviews Lawson for PO numbers and adds to sheet to assist in tracking.
  • Received and puts stock on shelves along with other staff.
  • Assists business manager in rotating supplies as new incoming inventory, checks and addresses supply expiration dates to ensure there are no outdated supplies
  • Assists in maintaining neat and orderly inventory location
  • Help establish instruction guides for fill-ins
  • Assists business manager in supply ordering if needed
  • Keep waiting area organized and stocked with snacks & coffee for patient comfort
