About The Position

We are seeking a detail-oriented, proactive team member to support daily clinic operations through a dual focus on scheduling and referral processing. The Scheduling and Referrals Specialist plays a key role in supporting Sidekick by handling scheduling responsibilities in the mornings and referral processing in the afternoons. This position ensures that schedules are accurate, documentation is complete and compliant, and our therapists and case management leaders receive consistent support. This role is ideal for someone who enjoys organization, multitasking, and working in a fast-paced environment with a mission-driven team.

Requirements

  • Prior experience in administrative, scheduling, or healthcare operations preferred.
  • Strong attention to detail and organizational skills.
  • Ability to manage time effectively and switch between tasks.
  • Strong written and verbal communication skills.
  • Ability to learn and navigate electronic health record (EHR) systems.
  • Comfortable working independently and collaboratively.

Responsibilities

  • Support the Director of Case Management & Scheduling, Scheduling Specialist, and therapists with daily scheduling needs.
  • Set up new teammates by assigning schools, students, and required accounts.
  • Create, modify, or duplicate schedules to support therapist needs.
  • Assist with schedule transfers related to time off.
  • Conduct routine scheduling audits.
  • Assist with therapist caseload transitions.
  • Maintain the master clinic calendar.
  • Support summer scheduling and district preparation.
  • Prepare weekly protocol shipments and monitor inventory.
  • Receive, review, and process physician orders and patient documentation.
  • Ensure all documents meet state, insurance, and internal compliance standards.
  • Verify documents are properly labeled, complete, and assigned to the correct patient.
  • Process school orders for TennCare and School Pay clients.
  • Complete insurance verifications for TennCare and commercial plans.
  • Follow up on Problem Alerts, Failed Documents, and Stopped Orders.
  • Collaborate with internal teams to resolve documentation or verification needs promptly.
