This role is central to daily operations and requires strong organization, communication, and problem-solving skills in a fast-paced environment. The Scheduler works closely with caregivers, clients, and leadership to maintain continuity of care while responding calmly and effectively to changing needs. Requirements

  • Experience in scheduling, staffing, or home care operations preferred
  • Strong organizational and time-management skills
  • Excellent verbal and written communication skills
  • Ability to manage competing priorities in a fast-paced environment
  • Comfortable using scheduling software and basic documentation systems
  • High school diploma required, additional education a plus
  • Reliable transportation and flexibility with work hours as needed

Responsibilities

  • Maintain daily schedules for caregiver services
  • Ensure all client cases are filled within established timeframes
  • Respond to callouts, coverage gaps, and urgent scheduling needs
  • Communicate schedules and changes clearly to caregivers and clients
  • Coordinate with on-call staff and leadership as needed
  • Monitor caregiver overtime, mileage, and attendance
  • Verify time records against schedules and follow up on discrepancies
  • Maintain accurate scheduling documentation in agency systems
  • Follow up on scheduling issues encountered by on-call staff
  • Anticipate staffing needs and notify leadership of hiring gaps
  • Support efforts to minimize shift substitutions and maximize consistent coverage
  • Maintain an adequate pool of available caregivers
  • Communicate caregiver performance concerns related to dependability and responsiveness
  • Serve as a primary point of contact for scheduling-related inquiries
  • Maintain confidentiality of client and employee information
  • Communicate concerns or changes promptly and professionally
  • Participate in team meetings and operational discussions as needed
