About The Position

The Scheduler III is a Supplemental position filling in for vacation and sick calls at the Holy Family Outpatient Based Imaging Center Monday-Friday day shift. Summary: Scheduler III is responsible for assisting patients and referring physicians and their staff in scheduling exams at an Inland Imaging or affiliated facility. Scheduler III is also responsible for advanced specialized tasks such as, but not limited to, Research Focused scheduling, Interventional Procedure scheduling, and Patient Experience Support. The scheduling department is generally the first contact with Inland Imaging so the Scheduler III must present a friendly, courteous, and professional demeanor. Requirements

  • Education: High School Diploma/GED required
  • Experience: o Three years of medical office experience required. o Meets all competencies to schedule all exams that are scheduled in the scheduling department. MRI, CT, Mammography, Bone Density, Ultrasound/Vascular, General Radiology/Fluoro, Nuclear Medicine exams and procedures. o Two years of previous scheduling and experience required o Anatomy and medical terminology preferred. o Understanding of procedures to be read by radiologist preferred.
  • Computer Skills: Experience with the following computer applications is highly desired: Outlook; Workday, Siemens/Medicalis, Qgenda, EPIC, and Cisco Finesse
  • Background Check: o Must be able to pass a background check required by RCW 43.43.830-840 to work with children under the age of 16, developmentally disabled persons or vulnerable adults o In order to comply with provisions, set forth in Sections 1128 and 1156 of the Social Security Act, all new employees of Inland Imaging Clinical Associates, LLC will be checked against the LIST OF EXCLUDED INDIVIDUALS provided by the Department of Health & Human Services, Office of the Inspector General (OIG). Employees must not be included on this list.
  • Drug Test: Eligible employees must be able to pass a post-offer, pre-employment drug test.

Responsibilities

  • Provides high quality customer service by: o Listens to patients’ and referring providers’ requests for exams, times and locations o Asks the appropriate questions to get information needed to schedule exams o Relays exam specific patient preparatory information as appropriate o Completes phone call with a professional closing
  • Updates patient demographics as needed
  • Adds patient’s current insurance information and update as needed
  • Verifies insurance eligibility for all exams
  • Verifies insurance authorization is obtained prior to scheduling
  • Knows which insurance carriers require prior authorization and for which exams
  • Schedules requested exams to maximize equipment utilization by time and location, review open slots
  • Schedules all General exams and procedures; Mammography, Bone Density, Ultrasound/Vascular, General Radiology and Nuclear Medicine
  • Schedules all CT & MRI exams and procedures
  • Knows preparation requirement for All Exams
  • Uses multiple resources and or applications to obtain necessary information for scheduling exams
  • Follows protocols and scheduling guidelines for scheduling procedures and knowledge of what radiologist can perform each procedure
  • Keeps current on all scheduling protocols and update manual as needed
  • Follows protocols for scheduling MRIs for patients with implanted devices to ensure patient safety is at the forefront.
  • Knows when to request Labs or History and Physical for imaging exams
  • Interacts with Radiologist, Nurses, and Technologists frequently
  • Communicates changes in the patient schedule, STATS, nurse requirements, add-ons, etc. to appropriate parties
  • If applicable to the specialized role, coordinates procedures with all departments including technologist staff, radiologists, nursing, anesthesia, and any other outside departments needed.
  • Reviews next days assigned schedule to: o Maximizes equipment utilization by time, location and specialty slot for MRI/CT and MSK Radiologist US and Flouro Procedures o Accounts for changes in the physician’s schedule
  • Calls patients to re-schedule exams as needed
  • Handles high call volume while maintaining efficiency and accuracy when scheduling exams
  • Calls patients to schedule exams and makes follow up calls as needed
  • Knowledge of order identification and processes
  • Identifies received documents as needed to assist Orders Team
  • Links orders to existing patient accounts or creates new patient account as needed
  • Routes documents to appropriate Medicalis filters for processing
  • Acts as a liaison between staff, management, and physicians
  • Coordinates interpreters for patient appointments
  • Performs other duties as assigned
  • Ability to maintain strict confidentiality within the Inland Imaging companies and Inland’s customers.
  • Follows all Health and Safety policies and guidelines of Inland Imaging or its partners depending on work location.   • Honest, pleasant manner and good personal hygiene.
