About The Position

Mountain View Hospital is looking for a Scheduler & Authorization Specialist to join our team! JOB SUMMARY: Accurately schedule patients for appropriate time and needs based upon referrals. Arrange for the efficient and orderly admission of patients to the clinic. Ensures that the patient’s information is collected, entered in the computer system accurately, and that all patients are aware of office policies and procedures. Accurately and in a timely manner is able to schedule diagnostic procedures for clinic patients along with ensuring that prior authorizations are completed for all imaging studies prior to them being done. Will oversee the schedule for designated providers, and help train new schedulers to help avoid mistakes. Willingly helps at the front desk during busy times. Willingly interprets if requested, both in person during office visits or by telephone. Is responsible for cross training duties with other designated staff to ensure proper coverage during absences. Arrange for learning and performing surgery scheduling as a secondary / fill in position. Will help with surgical prior authorizations when necessary.

Requirements

  • Education/Certification: High School Diploma or higher. Current BLS Certification.
  • Experience: Minimum of one year Urology office experience; equivalent combination of education and experience. Basic Medical Terminology and Urology Specific Terminology are necessary.
  • Equipment/Technology: Ability to use hospital information system, electronic medical record and operate basic computer functions and software, and fax/copier/scanners.
  • Language/Communication: Demonstrates great ability to communicate effectively with providers and staff. Ability to read and interpret documents such as clinical notes and physician orders, as well as safety rules, operating and maintenance instructions, and procedure manuals. Ability to speak effectively to patients, their families, referring offices, diagnostic, therapeutic facilities, and insurance companies, via phone, fax, computerized ordering systems and in person.
  • Mental Capabilities: Ability to apply common sense to carry out instructions furnished in written or oral form. Ability to deal with problems involving several variables.
  • Interpersonal: Ability to work well with others and be a team player. Able to teach others in a calm and understanding way. Approachable by employees with questions or concerns.

Responsibilities

  • Responsible for obtaining prior authorizations for Imaging appointments.
  • Responsible for obtaining prior authorizations for Surgery when extra help is requested from the surgery scheduler or if asked by management.
  • Responsible for understanding provider specific scheduling preferences.
  • Responsible for filling in for, or helping to train schedulers, upon request of management.
  • Responsible for watching patient flow at front desk and helping as needed during busy times.
  • Responsible for cross-training with the surgery scheduler and other authorization personnel in order to fill in when needed.
  • Reporting directly to Clinic Supervisor / Department Manager if any known issue needs escalated.
  • Responsible for scheduling patients to be seen in the office. Accurately obtains appropriate histories, prior diagnostic tests results, and all other necessary information to facilitate constructive patient visits to the office. Verifies prior authorizations and Healthy Connection Referrals are in place, if required.
  • Responsible for obtaining signature on Condition of Admission forms when working as Admissions Clerk.
  • Responsible for gathering correct information for proper insurance submission.
  • Communicates appropriately and clearly to the supervisor, coworkers, and physicians to facilitate good daily work flow.
  • Check for cancellations daily through messages or call reminders.
  • Accurately schedules follow up appointments, procedures, and surgeries.
  • Maintains office records, reports, and files as required.
  • Responsible for knowing office policies and being familiar with what services are available through the office.
  • Demonstrates an ability to be flexible, organized and function well in stressful situations.
  • Treats patients and their families with respect and dignity; ensures confidentiality of patients’ records.
  • Receive patient payments or a co-payment as required. Posts transactions appropriately to system. Counting money drawer and verifying correct amount at the beginning and ending of every shift.
  • Required to comply with all PCI standards and other company policies and procedures for payment card acceptance and security.
  • Maintains a good working relationship within the office as well as with outside contacts.
  • Completes annual educational requirements, and attends in-service meetings as required and attends other meetings as required.
  • Maintains patient confidentiality at all times.
  • Must maintain accurate time clock punches, punch in and out according to office policy.
  • Answers incoming calls to the facility in a professional, timely manner.
  • Must maintain a professional attitude.
  • Must wear appropriate clothing according to dress code.
  • Accepts and completes other duties as assigned or requested.
