The Opportunity Join our growing DC office as the Administrative Assistant of Sales; the heartbeat of our workplace who transforms everyday operations into exceptional experiences. This role blends executive support for our sales directors with office management responsibilities and cultural leadership - creating events, maintaining a vibrant workspace, and keeping your finger on the pulse of what our team needs to thrive. Requirements

  • 1-3 years of administrative or support experience , preferably in a sales environment or fast-paced office where you've juggled multiple responsibilities and kept leaders organized.
  • Naturally personable and professional: you're the welcoming presence people remember, with the interpersonal warmth that makes visitors and employees alike feel immediately comfortable.
  • Self-directed and adaptable: you don't need clear guidelines for every situation; you look around, identify what needs doing, and figure out how to make it happen without waiting to be told.
  • Excellent communicator with polished verbal and written skills who can interact confidently with everyone from new hires to executive leadership.
  • Organized multitasker who stays calm when managing competing priorities - from coordinating complex travel to setting up last-minute meetings to greeting unexpected visitors.
  • Technical proficiency with Google Workspace (Gmail, Google Docs, Calendar), Microsoft Office (Word, Excel), and general comfort navigating technology and learning new systems quickly.
  • Culture-minded approach: you understand that small gestures matter, you notice when morale needs a boost, and you take initiative to create the kind of workplace where people want to show up.

Nice To Haves

  • Experience with Salesforce or other CRM platforms used in sales environments
  • Background organizing events, cultural initiatives, or employee engagement activities
  • Previous office management experience where you've maintained operations and vendor relationships

Responsibilities

  • Executive Support: Manage travel arrangements and accommodations for sales leadership, coordinate calendars across multiple directors, and provide secretarial support that keeps our sales team focused on what they do best.
  • Meeting Coordination: Organize and schedule meetings, attend sessions to capture detailed notes and action items, and ensure follow-through on decisions that move the business forward.
  • Culture Champion: Partner with the Senior Director of HR Operations & Services to plan and execute office events that strengthen team morale, attend global culture meetings, and keep employees connected to company-wide activities and celebrations.
  • Office Management: Oversee daily office operations including coordinating catered meals, managing shipping logistics, maintaining office supplies, and ensuring our workspace runs efficiently and feels welcoming.
  • Hospitality & Reception: Greet and assist all office visitors - from executives to vendors to contractors; creating a positive first impression and hospitable atmosphere that reflects our company culture.
  • New Hire Welcome: Be the friendly first point of contact for new employees on their first day, helping them feel immediately comfortable and setting them up for success in their new environment.
  • Workplace Steward: Keep the office well-stocked with snacks and essentials, manage coffee station needs, coordinate with vendors, and maintain an organized, efficient environment that employees appreciate.
  • Internal Communication: Stay attuned to what's happening in the office, listen for employee needs and feedback, and communicate insights to leadership so the team feels heard and supported.
