About The Position

It's an exciting time to be part of IFF! Based in our Holmdel, NJ Office at Bell Works, the Sales Service Coordinator will be an integral part of our Sales Team. This is a great opportunity for a candidate interested to work in a face-paced team in Consumer Fragrance working closely with Account Managers. We are looking for a passionate and enthusiastic individual who be the key to the success of our sales team. A strong background in an administrative function will serve you well with this position requiring you to be highly organized and a strong attention to detail. This is a very interactive position where you will be the glue that sticks together different internal departments execution with the commercial delivery. To be successful in this position you will demonstrate excellent interpersonal skills, organizational and project coordination skills along with the ability to learn quickly, prioritize tasks effectively and manage pressure to meet deadlines.

Requirements

  • 1-3 years of related work experience.
  • Strong multitasking and organizational skills.
  • Strong computer skills: Knowledge in Microsoft Office, Excel, PPT, Word, SAP.
  • Strong interpersonal and communication skills.
  • Willingness to work overtime as needed to support business needs.

Nice To Haves

  • 1-3 years' experience in the Fragrance Industry preferred.
  • Flexibility to travel to our NY office to support bodycare customer needs.
  • Experience in prioritizing, coordinating, multi-tasking and managing several accounts as well as numerous projects.
  • Experience in fast-paced environment, working with cross-functional teams.
  • Understanding the overall product development creative process and the drivers such as: Perfumery, Scent Design, Marketing, R&D and Operations.
  • Desire to move into a commercial based role in future.

Responsibilities

  • Coordinating multiple client fragrance development projects by liaising with internal teams, both locally and internationally.
  • Scheduling, organizing and preparing meetings, including submission materials, sampling, blotters, submission sheets, and all support material.
  • Daily and ongoing support and communication to customer needs, such as pricing, oil, coordination of shipping, documentation and samples.
  • Project administration during project development, entering projects, sending out submissions and reworks, directing internal team, managing deadlines and requests.
  • Maintaining data integrity, including SAP/Business Warehouse/Price Lists, oil references, sales reporting tools, approved levels and bases.
  • Ensuring clients' current portfolios meet the latest industry regulations and issuing necessary safety documents.
  • Coordinating all regulatory reworks, working with regulatory perfumers and team for all maintenance and new amendments.
  • Taking on additional projects both internal and external, working unsupervised, and taking ownership to meet account objectives.
