Requirements

  • Associate degree in Business, Project Management, or a related field preferred.
  • 3+ years of experience in a related field desired.
  • Proven experience in sales support, operations coordination, and administrative functions, with a solid understanding of sales workflows and quoting processes.
  • Highly organized and adept at multitasking, with the ability to thrive both independently and collaboratively in fast-paced environments.
  • Excellent written and verbal communication skills, ensuring clear and effective interactions across teams and stakeholders.
  • Proficient in Microsoft Office Suite, with working knowledge of ERP systems and DocuSign.
  • Strong organizational and time management skills.
  • Effective written and verbal communication abilities.
  • Detail-oriented with a proactive approach to problem-solving.

Responsibilities

  • Manage incoming telephone calls to the Sales Department and respond to inquiries professionally.
  • Handle pre-sales correspondence, including follow-up communications to support customer engagement and sales readiness.
  • Develop and send basic parts quotes to customers and contractors, ensuring timely and clear communication.
  • Maintain organized records of customer interactions and quote activity to support sales tracking and operational efficiency.
  • Initiate new project folders on the company’s fileserver for each new opportunity.
  • Order and/or download project plans and specs and share with internal teams.
  • Forward the civil drawings to the company’s Radio Department for radio studies and track status against quote due dates.
  • Maintain a distribution list for quote requests from contractors associated with each project during the estimating process.
  • Send completed project quotes to contractors and prepare Sales Agreements via DocuSign, ensuring timely execution through diligent tracking.
  • Create and update sales opportunities in Salesforce CRM to maintain accurate pipeline visibility and support sales forecasting.
  • Initiate sales orders in ERP system upon receipt of purchase orders or agreements, ensuring data accuracy and alignment with approved quotes.
  • Distribute daily updates to stakeholders highlighting new and modified customer orders to maintain transparency and operational awareness.
