About The Position

Bow Robotics, an Addtronics company , provides spare-parts, rebuild & repair services, and preventative maintenance for industrial robots used by customers in a variety of end markets across the country. Located in West Chester, Ohio, Bow has a diverse robotics team include electrical, mechanical, and software engineers that focus on building long-term relationships with our customers based on trust and dependability. The Sales & Operations Assistant supports the day-to-day execution of the sales process by ensuring quotes, orders, and data are handled accurately and efficiently. This role works closely with Sales and Operations to keep opportunities moving from quote to cash with speed and consistency. This is a highly detail-oriented, execution-focused role that plays a critical part in maintaining QBO, ERP and CRM discipline, supporting internal coordination, and enabling the sales team to focus on selling.

Requirements

  • Associate degree or equivalent experience preferred
  • 1–3+ years of experience in administrative, sales support, or operations roles preferred
  • Experience with CRM / ERP systems (QBO, Salesforce, Service Fusion preferred)
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Excel, Word, and PowerPoint
  • Strong internal communication and teamwork skills

Responsibilities

  • Quoting & Order Processing
  • Create & send customer quotes
  • Ensure pricing and details are accurate
  • Process customer purchase orders
  • Track order status and provide updates to internal teams
  • ERP / CRM Data Management
  • Maintain accurate customer, contact, and opportunity data
  • Ensure pipeline data is consistently updated and reliable
  • Enter jobs into Service Fusion and track progress through completion
  • Sales Support
  • Support follow-up on open quotes and opportunities
  • Prepare and send sales-related documentation
  • Assist with internal coordination of sales activities and priorities
  • Coordination with Operations
  • Ensure a clean and complete handoff from sales to operations
  • Coordinate job entry and scheduling with the operations team
  • Track job progress and flag delays or issues
  • Purchasing & Vendor Coordination
  • Create and send purchase orders to vendors
  • Track confirmations and delivery timelines
  • Follow up on critical or delayed items
  • QBO Invoicing & Revenue Support
  • Generate invoices and ensure accuracy
  • Track completed jobs and support timely billing
  • Assist with revenue tracking and basic forecasting updates
  • Reporting & Process Support
  • Run and distribute standard reports
  • Support weekly sales and forecast meetings with accurate data
  • Identify data gaps and support process improvements
  • Marketing Support & Lead Tracking
  • Enter inbound leads into Salesforce
  • Maintain accurate lead tracking and data completeness
