Job Purpose Statement To assist in the promotion and marketing of Rose Hill Conference Center as a corporate/private event venue and coordinate various aspects of events including preparation of function sheets, floor charts, arranging vendor needs and overseeing the execution of the banquet. Job Functions Coordinate various aspects of the events including: scheduling, preparing all correspondence, preparing the Banquet Event Order, ensuring the event is properly set up, providing all necessary information to the General Manager and all Preferred Vendors, leading staff through the execution of all events for which they are the direct contact. Generate event leads and correspond with new leads by providing them with information packets and preparing proposals for prospective clients. Send “Thank You” cards, make follow-up phone calls, and frequently make visits to promote RHCC/RMPH and increase sales with existing clients. Serve as a direct contact for prospective clients and all vendors that are associated with the events. Meet with existing members and prospective customers to plan events and offer benefits and use of the center as requested. Schedule and arrange payment for temporary employees such as valets, shuttles, horse and carriage, etc. Request checks for petty cash and cash bars; collect advance payments for weddings and deposits. Process and code invoices for payment; provide Accounting with bank deposit recap forms and copies of deposit receipts; and ensure that all customer payments and deposits are properly logged and reconciled to Accounting totals. Promote and market “Rose Hill Estate” and “Rocky Mount Power House” as event venues; be proficient in social media such as Facebook, Instagram and Twitter and produce weekly posts to capture and maintain a larger following for both. Conduct tours of the facility for prospective customers. Plan and participate in bridal and business expos. Be available to work weeknights, weekends and holidays according to event schedules.
