In this role, as the Sales Executive Assistant, you will operate at the center of VP Racing’s Sales division - managing priorities, shaping executive communications, and keeping high-visibility initiatives moving forward. You will serve as a trusted partner to Sales leadership and the central point of coordination for the Sales team, supporting executives, regional leaders, and external partners through executive-level administrative, operational, and logistical support. This is an in-person position based at VP Racing’s Corporate Headquarters located in San Antonio, Texas, requiring a consistent on-site presence to support leadership and the broader Sales organization. You will translate data into clear insights, transform ideas into polished, executive-ready presentations, and ensure the Sales organization remains aligned, prepared, and execution-ready. Success in this role requires strong ownership, discretion, and the ability to anticipate needs before they’re voiced. This role is ideal for someone who thrives on responsibility, works one step ahead of leadership, and takes pride in delivering high-caliber work in Excel and PowerPoint.   • Provide executive-level administrative support to the Senior Vice President of Sales
  • Serve as the Sales team’s first point of contact for administrative support and coordination
  • Maintain and manage the SVP of Sales’ calendar, meetings, and priorities
  • Prepare, format, and edit executive-level PowerPoint presentations, sales decks, and leadership materials
  • Prepare, review, and route documents for executive approval and signatures
  • Maintain confidentiality of sensitive company and sales information at all times
  • Attend meetings, take detailed notes, and clearly identify action items, owners, and deadlines
  • Track follow-ups and ensure commitments are completed on time
  • Transcribe and distribute meeting minutes when needed
  • Communicate executive directives and delegated assignments across the Sales organization
  • Advanced Excel proficiency required - including reporting, tracking, analysis, and data organization
  • Build, maintain, and analyze spreadsheets to support sales tracking, forecasting, KPIs, and operational initiatives
  • Translate data into clear, executive-ready PowerPoint visuals and summaries
  • Receive, review, and validate data and documents for accuracy prior to executive review
  • Coordinate sales events, trade shows, race events, sponsorships, and ticketing
  • Support event logistics involving Regional Sales Managers, sponsors, and internal teams
  • Arrange and manage executive and team travel for sales events throughout the year
  • Assist with planning and execution of special sales initiatives and events
  • Travel to various VP locations and external events as needed
  • High School Diploma or GED required
  • 5+ years of executive or administrative assistant experience, preferably supporting sales leadership or senior executives
  • The ideal candidate must be extremely organized and able to manage the logistics of multiple duties with professionalism and strong communication skills.

  • Advanced Excel proficiency required - including reporting, tracking, analysis, and data organization
  • CRM experience (Salesforce preferred)
  • NetSuite experience is a plus
