Position Overview: The Sales & Events Coordinator supports the Sales and Marketing Department, and the primary responsibility is to support the sales team in generating revenue and driving business growth for the hotel, while also coordinating group and event servicing functions. This involves assisting with the coordination and execution of sales activities, such as responding to inquiries, preparing proposals, facilitating bookings for meetings, events, and serving as a point of contact for all client services and accommodations. This role also supports the planning and execution of group and event programs, including coordination of event details, documentation, and on-site servicing. Key Responsibilities: Maintain complete knowledge of hotel operations, scheduled daily activities, and comply with all departmental policies/service procedures/standards. Assist in preparing sales proposals and contracts tailored to client needs, outlining pricing, services, and terms to secure bookings. Support Sales, Marketing and Front Office teams administratively including correspondence, reporting, reservations, and on-property activations. Coordinate and service group and event bookings from turnover through execution; act as the primary client contact and liaison throughout planning and on-site execution. Conduct pre-convention and planning meetings to review event details, timelines, and operational requirements. Prepare, review, and distribute BEOs, resumes, and related event documentation; track completion status for accuracy and reporting. Collaborate with Banquets, Culinary, and other departments to execute events seamlessly; manage changes and communicate updates to all stakeholders. Monitor event execution to ensure alignment with client expectations, hotel standards, and contractual agreements. Block group and meeting space, manage rooming lists, and ensure accurate data entry across reservations, billing, and Delphi systems. Maintain client profiles and records, ensuring accuracy within Opera Cloud and supporting Marketing and PR reporting. Provide telephone and message support, responding to inquiries in a timely, clear, and professional manner. Review group billing, concessions, and post-event reconciliation for accuracy. Conduct post-event follow-up to gather feedback and identify future business opportunities. Collaborate with other hotel departments to maximize revenue opportunities and overall sales efforts. Able to multitask in a fast-paced environment while staying organized and meeting deadlines. Complete additional projects as assigned.
