Responsibilities

  • Full-time, year-round position supporting sales team within all KRC properties providing administrative support to Sales Directors as needed, including assisting with contracts, addendums, proposals, and sales documentation.
  • Consult with Sales Directors and Event teams related to the needs of the groups during the sales and detailing process. Processes including but not limited to, reservation process including rooming lists, load-in scheduling, available property merchandise for welcome bags and pricing, available activities & pricing, food service options and pricing, floor layouts, event & meeting logistics, activities, coordinating with outside vendors, etc.
  • Upon Sales Directors contracting of group the sales coordinator will be introduced to group contact and along with sales director become a point of contact to assist with questions, documentation, and assistance up until groups’ arrival on property.
  • Facilitate and process group reservations and billing set up for all groups including rooming lists, individual reservations, and billing/routing setups. Work closely with property teams and guest services teams to ensure correct billing set up for arrival of group.
  • Occasional assistance in planning of and preparation for in-house events and promotional groups initiated by Marketing & PR teams
  • Assistance in creation of BEO, Group Resumes, and Banquet Checks for sales department for all groups throughout the year.
  • Lead wedding + event tastings as scheduled by Sales Directors (at least 2-months prior to event)
  • Schedule and lead BEO meetings with property teams 10 days prior to group arrival
  • Following BEO meeting, take on direct communication with group contacts to confirm details, make any last-minute changes, and prepare property staff for execution
  • Coordinate with banquet captain and/or property team on potential staffing needs maintain/update event operation SOPs
  • Coordinate, support, and help supervise pre-event set-up as needed with property teams (i.e. Maintenance)
  • Coordinate with Banquet Captain or General Managers, or appropriate property team member to prepare final group billing with team and Directors of Sales.
  • Upon groups' arrival on property the sales coordinator will support and coordinate between group and internal departments should any questions arise.
