The Sales Coordinator supports the commercial moving sales team by managing proposals, organizing RFP responses, coordinating pre-move planning details, and maintaining key sales resources and tools. Requirements

  • Associate’s or bachelor’s degree preferred or equivalent experience.
  • 2–5 years of experience in sales support, coordination, or administrative roles; commercial moving or logistics experience strongly preferred.
  • Ability to manage multiple deadlines, calendars, and deliverables with precision.
  • Strong written and verbal communication for proposals, client interactions, and internal coordination.
  • High accuracy in documentation, materials preparation, and data entry.
  • Skilled in Microsoft Office (Word, Excel, PowerPoint) and comfortable working within CRM systems.
  • Ability to support pre‑move planning, RFP workflows, and information handoffs with minimal oversight.

Nice To Haves

  • Experience supporting proposal or RFP development is a plus.

Responsibilities

  • Develop, format, and prepare sales proposals and client presentations.
  • Coordinate RFP submissions by managing due dates, gathering required materials, and ensuring accurate, timely delivery.
  • Maintain standardized proposal templates, company profiles, and supporting documents.
  • Support vendor management activities including documentation collection, service confirmation, and pricing updates.
  • Maintain a current vendor directory and ensure all information is accurate and accessible.
  • Assist with pre-move preparation including floor plan markups, labels, placards, and required materials.
  • Coordinate with operations and project teams to ensure complete handoff of client requirements and scope details.
  • Coordinate client appreciation activities such as lunches, meetings, and touchpoints; manage related expenses per company policy.
  • Provide scheduling and administrative support for client walkthroughs, meetings, and follow-ups.
  • Maintain and update a calendar of networking events, industry meetings, and association activities.
  • Coordinate logistics and materials needed for sales participation at external events.
  • Update and maintain the digital library, including references, case studies, resumes, and standardized company content.
  • Ensure materials are organized, current, and easily accessible for the sales team.
  • Maintain the Booked Revenue Tracker and support preparation of weekly or monthly sales reporting.
  • Assist with CRM updates and data accuracy for opportunities, accounts, and contact information.
