About The Position

As a Sales Coordinator, you play a key role in supporting the hotel’s sales and event operations. This position assists Sales Managers with client communication, proposal preparation, and internal coordination to ensure smooth execution of events and group bookings. The coordinator also manages administrative tasks, maintains sales systems, and helps drive guest satisfaction through cross-departmental collaboration.

Responsibilities

  • Assist Sales Managers with client correspondence, proposals, contracts, BEOs, and thank-you letters.
  • Maintain organized filing systems and up-to-date client databases; generate reports as needed.
  • Manage the Sales & Catering software system (e.g., Delphi); proficiency in FOSSE preferred.
  • Answer phones, respond to inquiries, and ensure accurate messages and follow-up.
  • Coordinate group details and event logistics across departments to ensure seamless service.
  • Prepare and distribute weekly group resumes, BEOs, and updates; relay last-minute changes.
  • Call for group guarantees 72 hours prior to events.
  • Monitor and order office supplies as needed.
  • Support the Director of Sales with market research, competitor rate analysis, and strategy development.
  • Assist in planning and execution of group bookings and hotel events.
  • Manage contract airline business: block rooms, update manifests, and coordinate with Operations.
  • Ensure compliance with Peachtree Hospitality Management standards for appearance, attendance, and safety.
  • Attend all required meetings and training sessions.
  • Perform additional duties as requested by management.
  • Work with the operations team to manage the hotel's contract airline accounts.
  • Ensure Contract business is blocked in the hotel system through Kdate.
  • Update group block monthly based on Manifest.
  • Make “space holder” reservations in fosse for system to block rooms.
  • Compare manifest to rooms blocked and release any unsold rooms.
  • Assist Operations as needed, as it pertains to Airlines.
