About The Position

The Sales Coordinator is responsible for clerical, administrative, and other duties to assist in the smooth operation of the Sales /Catering & Convention Services department. He/she is also responsible for providing attentive, courteous, and efficient service to all guests.

Requirements

  • Must have working knowledge of Excel, Word, Outlook, Power Point
  • Required to work flexible schedules, that may include an occasional late evening or weekends
  • Must be organized and detail oriented
  • Must present a professional and polished appearance
  • Must be able to handle multiple tasks at one time

Nice To Haves

  • Previous hotel, sales/catering, and Delphi FDC experience preferred

Responsibilities

  • Answers incoming telephone calls from all Sales/Catering lines
  • Responds to telephone inquiries by determining client’s needs and specifications for referral to designated Sales or Catering Sales Managers
  • Daily office duties include monitoring of all incoming electronic lead distribution partners to ensure prompt response by managers for all incoming leads.
  • Manage and maintain data content in FDC for accuracy (Grass Roots Reports)
  • Processes all incoming correspondence
  • Assist sales managers with completing expense reports if requested
  • Ensures that all filing systems are maintained according to spec’s
  • Gathers and organizes all materials for weekly/monthly reports as directed
  • Assist managers with VIP amenities, outlet reservations, site alert forms etc.
  • In the absence of a manager or at the request of, follows through on all customer requests to ensure the customer is satisfied and that the issue or request has been resolved and satisfied.
  • In charge of all paperwork involved when turning over a group or catering file from tentative and definite (signed agreement, estimate, room blocks, MOP, booking recap, suite request forms)
  • Responsible for routing weekly P’s and T’s reports for weekly meetings with managers’ updates.
  • Assists sales team with blocking space in FDC as needed and creating proposals if requested.
  • Coordinate transportation and room reservations for sales incoming site guests, VIPS or requests by team.
  • If needed, assist Sales Manager with site visits
  • Multi-task and prioritizing multiple requests and information; time management and organizational skills are necessary
  • Detailed knowledge of the hotel meeting space, group dynamics and event details
  • Property-wide departmental interaction
  • Knowledge of hotel services and events
  • Ensure an efficient and professional working environment with open communication
  • Coordinates and provides office coverage when Catering Coordinator is out of office
  • Special projects and other duties as assigned by Sales and Catering leaders
  • In the absence of the sales coordinator/MRC or Catering Coordinator assumes responsibility for completing essential tasks normally completed by that individual.
