About The Position

The Sales and Closing Administrator Compiles, reviews, analyzes and verifies sales documents, obtains, reviews and verifies necessary closing documents for single-family homebuyers to coordinate and ensure timely and accurate completion of scheduled homebuyer closings.

Requirements

  • High school graduate with basic academic and practical skills gained through school curriculum combined with at least one year of related work experience and/or training; general knowledge of home building industry within the scope of sales contracts and the understanding of closing procedures and practices.
  • General office and administrative skills to assist in the processing of departmental work flow.
  • Customer-service oriented with professional and courteous attitude.
  • Good verbal and written communication skills for interaction with a variety of people inside and outside of the organization; good organizational skills and detail-oriented aptitude.
  • Proficient in Microsoft Office Suite to include PowerPoint, Excel, and Word
  • Proficiency in Google Suite and Gmail
  • Enjoys building relationships with both internal and external contacts
  • Experience learning new IT systems and applications
  • Self-starter able to work independently and with an administrative team
  • Organized with a strong attention to detail

Nice To Haves

  • Sales, settlement, loan or appraisal processing experience in Real Estate or Homebuilding is a plus

Responsibilities

  • Verifies sales pricing for accuracy and processes new home sales contracts, change orders, verifies and processes customer selection sheets, selection revisions, pricing changes etc; performs data entry to computer system for new customer information and revisions.
  • Compiles all sales information; prepares and distributes weekly and monthly sales reports as required.
  • In this position you will be responsible for reviewing and processing all paperwork generated by onsite Sales Associates, Lenders and Selection Center
  • Verifies and records home buyer deposits
  • Ensures that Customer files and documents are complete, properly authorized, organized, and store
  • Track and monitor the progress of a sale through the new construction pipeline
  • Schedule construction walk dates, settlement dates with and communicate updates to customers
  • Prepare settlement documentation and coordinate with lenders, appraisers, attorneys and title companies for settlement-related details
  • The Closing Coordinator serves as the Company’s liaison with Sales Team, Construction Team, Customers, Lenders, and Title companies to ensure the successful closing of each home
  • Prepares closing documents while working closely with Sales and Production Team, Customers, Lenders, Appraisers, and Title Company to ensure a timely closing process for all involved parties
  • May prepare Deed, title docs, get keys, final survey, copy all engineering documents and send closing package to title company for closing
  • Resolves any issues in a timely manner so that closing dates are achieved
  • Update, System and Closing Reports daily and attends weekly meetings
  • Performs additional assignments as requested by manager.
  • Will play key role in identifying and executing tasks that will enhance team productivity.
  • Gain exposure to administrative needs for the construction side of our business
