About The Position

This position serves as a liaison between various sales and catering managers and their clients, ensuring effective communication and documentation of booking inquiries. The role involves administrative tasks such as data entry, document preparation, and customer service, all aimed at supporting the sales and catering operations of the hotel.

Requirements

  • Minimum high school diploma or equivalent; two-year A.A. degree in Hospitality and Tourism preferred.
  • 1 - 3 years of experience in a customer service or administrative assistant role.
  • Prior hospitality industry experience, including knowledge of hotel reservations and sales and catering software programs, specifically Marriott brand requirements.

Nice To Haves

  • Basic knowledge of mathematics and calculator skills to prepare calculations without error.
  • Ability to communicate effectively both verbally and in writing.

Responsibilities

  • Act as a liaison between Catering Sales Manager(s), Convention Services Managers, and Executive Meetings Manager and their clients.
  • Document booking inquiry information via phone or email and transmit it to the respective Manager.
  • Use various computer software to enter data, produce contracts, correspondence, and other documents.
  • Answer telephone inquiries and respond to callers in a clear and pleasant manner.
  • Record messages for staff and distribute them in a timely manner.
  • Distribute documents to ensure prompt processing of time-sensitive information.
  • Transport documents weighing up to 10 pounds to various locations within the hotel.
  • Retrieve and place documents into proper receptacles located up to 6 feet high.
  • Handle individual reservations for VIP clients and ensure proper arrangements are made.
  • Attend to phone inquiries and walk-ins in the absence of the Sales Manager/Hotel Manager.
  • Analyze business and qualify customers accurately.
  • Quote room rental and rate information to potential clients and follow up by phone when appropriate.
  • Prepare weekly and monthly sales reports and attend scheduled meetings.
  • Organize, file, and retrieve documents to maintain essential records.
  • Input data into the database and prepare outgoing sales correspondence.
  • Review documents for accuracy and provide information to other departments as necessary.
  • Create, revise, and distribute banquet event orders and place orders with the catering company.
  • Greet clients prior to events and check in with them during and after the event.
  • Maintain Group Contact Binders and assist in planning sales blitzes and client events.
  • Maintain a client database for future marketing campaigns and prepare sales kits.
  • Order and create advertising tools as directed and maintain a clean organized sales office.
