Lexus of Vancouver is currently looking for a Sales Assistant to join their team! What will you do? The Sales Assistant provides administrative and operational support to the Sales and Finance functions within the dealership. The role is responsible for inventory coordination, documentation accuracy, and preparation and maintenance of sales and finance paperwork. This position requires strong attention to detail, organization, and the ability to support compliance and audit-ready documentation, without engaging in direct customer finance activities.

Requirements

  • High School Diploma or equivalent
  • Proficient in desktop tools including MS Office programs (e.g., Outlook, Excel, Word, PowerPoint, Project, Visio, SharePoint)
  • 2–4 years of experience in administrative services or a related field
  • Familiarity with, or ability to quickly learn, sales processes, vehicle inventory systems, and related workflow tools
  • Experience reviewing and improving processes, methods, and tools to increase efficiency, accuracy, and data integrity
  • Understanding of basic accounting principles and bookkeeping software may be required

Nice To Haves

  • Experience in a dealership or similar environment preferred

Responsibilities

  • Maintain up-to-date and accurate vehicle inventory records.
  • Manage the stocking and tracking of incoming vehicles, including PDI emails and documentation.
  • Manage dealer trade paperwork and submit Bills of Lading (BOL) accurately and timely.
  • Print, prepare, and assemble sales and finance documentation packets.
  • Review finance-related documents for completeness, accuracy, and required signatures.
  • Scan, index, and file sales and finance documents per record-retention requirements.
  • Partner with Sales, Finance, and the Business Office to resolve documentation issues.
  • Maintain organized, audit-ready deal files.
  • Provide administrative support to Sales Managers and teams.
