About The Position

The Sales Administrator serves as a central support partner to the sales and operations teams, ensuring that the administrative, communication, and data processes behind the sales function run smoothly and accurately. This role is responsible for maintaining the integrity of sales data, coordinating lead distribution, supporting customer communication, and helping bridge the gap between sales and production. Acting as both a customer touchpoint and an internal resource, the Sales Administrator helps create a seamless experience from order placement through fulfillment by confirming order accuracy, documenting key details, and providing status updates. The position also plays an important role in performance tracking by managing sales reports and supporting the accurate calculation of commissions. This role is based at our Odessa, Florida location and is fully on-site. This position is paid at a hourly rate of $17.00.

Requirements

  • Previous experience in an administrative, sales support, or customer service role
  • Experience working in a CRM system (Zoho, HubSpot, or Salesforce preferred)
  • Strong typing and data entry skills
  • Professional and confident phone communication skills
  • Excellent customer service abilities
  • Strong attention to detail and organizational skills
  • Ability to manage multiple tasks and deadlines
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • A proactive approach to problem-solving with strong organizational skills.
  • Must be legally authorized to work in the USA.

Responsibilities

  • Own and maintain the company sales tracker, ensuring all sales data is accurate and up to date
  • Manage incoming sales leads and assign them to appropriate sales representatives in a timely manner
  • Administer and maintain the company CRM system (Zoho), ensuring data integrity and consistent documentation
  • Update sales orders, opportunities, and customer records with detailed and accurate notes
  • Conduct welcome calls to customers after order placement to confirm order accuracy, answer questions, and provide a positive post-sale experience
  • Document customer interactions and important order details in the CRM
  • Coordinate with the Production Control Coordinator to obtain order updates and communicate order status to customers and sales representatives
  • Support alignment between sales and operations to ensure smooth order flow and customer satisfaction
  • Calculate and track bi-weekly sales commissions based on established guidelines
  • Maintain organized records related to sales tracking, reporting, and commission calculations
  • Other duties as assigned.
