What You’ll Do: The New Trucks Sales Administrator provides support and assistance to the New Truck Department with the day-to-day functions of the dealership locations to ensure maximum efficiency, competency, and customer satisfaction. Requirements

  • High school diploma or the equivalent
  • 3+ years of transportation industry office administrative experience
  • Exceptional customer service and telephone skills
  • Excellent interpersonal skills
  • Excellent time management and organizational skills
  • Impeccable attention to detail
  • Proficient in office software such as Outlook, Word, Excel, etc.
  • Must be able to pass post offer drug test and background check

Nice To Haves

  • Accounting, Sales or Operations experience preferred
  • Finance experience a plus

Responsibilities

  • Maintain and reconcile vehicle schedules
  • Purchase and file extended warranties for department
  • Review factory invoices received daily and make necessary updates within the new truck databases and make proper notifications to the sales staff, as necessary
  • Post vehicle costs into database
  • Issue department purchase orders for various costs including, but not limited to: fuel, transportation of a vehicle, body up fit, and various Service repairs
  • Process new truck invoices in AP system
  • Manage and reconcile vehicle clearing account for specified branches
  • Arrange for transport of new trucks, as needed
  • Ensure the sales database is updated regularly with the truck locations, audit physical inventory regularly
  • Print QR codes for vehicle inventory / inventory checks
  • Maintain organization and safe keeping of all truck keys
  • Follow up with third party vendors to obtain verification that specified trucks are in their possession
  • Backup and assist Finance Administrator daily tasks
  • Deal jacket completion, verify manufacturer rebates and dealer accept as needed
  • Update truck manufacturers of sold inventory, according to each manufacturers policies and procedures
  • Additional projects, as requested by management
  • Collaborate with other departments on current workload prep for customer deliveries
