Sales Administrative Coordinator Full Time / Non- Exempt Location: Summer Bay Corporate Office 127 Town Center Blvd. Clermont, FL 34714 Schedule: Friday – Tuesday / Morning Shift Pay Rate: $24-29/Hour Job Summary: The Sales Administrative Coordinator will report directly to the Chief Commercial Officer and will provide administrative and operational support to the sales department by managing team scheduling, maintaining attendance records, coordinating administrative resources, and validating compensation documentation for submission to payroll. This position plays a key role in supporting the internal operations of the sales team by ensuring accurate tracking of hours worked, tour bonuses, commissions, and sales incentives in accordance with approved compensation plans. The role focuses primarily on internal sales operations administration and coordination of departmental resources to support the productivity of the sales organization.

Requirements

  • High school diploma required; associate or bachelor’s degree preferred.
  • 2–4 years of administrative or operations support experience preferred.
  • Experience supporting commissioned sales teams or sales operations environments preferred.
  • Strong attention to detail and ability to maintain confidentiality with compensation information.
  • Proficiency in Microsoft Excel and standard office systems.

Nice To Haves

  • Timeshare experience highly preferred.

Responsibilities

  • Provide administrative support to sales leadership and the sales team.
  • Maintain sales team administrative records including compensation plans, schedule rosters, and incentive documentation.
  • Maintain organized departmental files, documentation, and internal records.
  • Run operational reports and compile information requested by sales leadership.
  • Assist sales representatives with timekeeping corrections within the company payroll system.
  • Review sales reports and compensation documentation to validate commissions, tour bonuses, and incentive payments.
  • Prepare and submit validated compensation documentation to payroll in accordance with established deadlines.
  • Maintain sales team schedules and track approved PTO, vacation, and schedule adjustments.
  • Process administrative documentation related to new hires, transfers, terminations, and compensation agreements.
  • Maintain administrative records associated with licensing or regulatory documentation when required.
  • Track and maintain records related to sales incentives, contests, and recognition programs.
  • Validate eligibility for contest payouts and incentive awards based on sales performance reports.
  • Coordinate the purchase and distribution of sales recognition awards and incentive items.
  • Maintain inventory of operational supplies used within the sales department.
  • Coordinate shipments of materials and resources to other sales locations when required.
  • Code departmental supply orders for accounting purposes and track related expenses.
  • Serve as a liaison between the sales department and payroll to ensure accurate compensation reporting.
  • Submit expense reports for sales leadership and obtain required approvals prior to accounting submission.
  • Coordinate service requests with IT, facilities, and maintenance teams to support sales department operations.
  • Maintain accurate documentation related to scheduling, attendance, compensation submissions, and incentive tracking.
  • Assist sales leadership with administrative reporting related to staffing, scheduling, and compensation tracking.
  • Ensure departmental records are maintained in accordance with company policies and procedures.
  • Assist with coordination of departmental meetings, recognition events, and team activities when requested.
  • Perform general administrative duties and support projects as assigned by sales leadership.
