About The Position

I State Truck Center is a dealer for Freightliner Western Star Fuso Detroit Diesel Mercedes Cummins CAT Meritor & Eaton We have been a market leader in the service industry for over 50 years and we have excelled at providing solutions and adding value for our customers This role will be primarily supporting the truck sales department and tasked with the following duties Coordinate all paperwork needed to complete the sale of new and used trucks and equipmentAssign stock numbers to new and used trucks and equipmentEnter new and used incoming trucks into the KEYper truck location tracking system and delete them from the system when soldCreate stock number tags for all newly acquired new and used trucks and equipmentProcess and file both electronically and physically factory invoicesGenerate and maintain electronic and physical folders for all new and used trucks and equipmentEnter truck and equipment specification data and photos into Procede and SOARR inventory control management system and Truck Paper for all new and used trucks and equipment and archive them when soldMaintain Graybook truck order infoIssue purchase orders for trucks and equipment including inter departmental as directed by department managersVerification and validation of titles and lien releases for used trucksContact customers and DMVs of multiple jurisdictions to obtain missing titles andor to have corrections made to errors in existing titlesVerify receipt of payment before processing titles and MV 11 paperworkMaintain and distribute daily sold and hold notification to the sales teamManage customer rebate programTrack maintenance and MV registration needs for company pool vehiclesAssist with management of truck rental fleetCross train with other truck sales administrative assistants to assist with their duties as neededAssist with inventory auditsOccasional switchboard and reception desk coverage as neededOther reasonable duties as needed to assist in the daily functions of the sales department

Requirements

  • Must have above average abilities in MS Office Suite Word and Excel Also able to use email and other office applications
  • Strong written and verbal communication skills
  • Ability to take direction ask appropriate questions and possess a strong sense of urgency
  • Must possess excellent organizational skills integrity and demonstrate a positive attitude
  • Will need good reasoning skills and problem solving ability
  • Proven work experience as a Sales Administrator
  • Hands on experience with MS Office

Responsibilities

  • Coordinate all paperwork needed to complete the sale of new and used trucks and equipment
  • Assign stock numbers to new and used trucks and equipment
  • Enter new and used incoming trucks into the KEYper truck location tracking system and delete them from the system when sold
  • Create stock number tags for all newly acquired new and used trucks and equipment
  • Process and file both electronically and physically factory invoices
  • Generate and maintain electronic and physical folders for all new and used trucks and equipment
  • Enter truck and equipment specification data and photos into Procede and SOARR inventory control management system and Truck Paper for all new and used trucks and equipment and archive them when sold
  • Maintain Graybook truck order info
  • Issue purchase orders for trucks and equipment including inter departmental as directed by department managers
  • Verification and validation of titles and lien releases for used trucks
  • Contact customers and DMVs of multiple jurisdictions to obtain missing titles andor to have corrections made to errors in existing titles
  • Verify receipt of payment before processing titles and MV 11 paperwork
  • Maintain and distribute daily sold and hold notification to the sales team
  • Manage customer rebate program
  • Track maintenance and MV registration needs for company pool vehicles
  • Assist with management of truck rental fleet
  • Cross train with other truck sales administrative assistants to assist with their duties as needed
  • Assist with inventory audits
  • Occasional switchboard and reception desk coverage as needed
  • Other reasonable duties as needed to assist in the daily functions of the sales department
