About The Position

This administrative position is responsible for reviewing and processing electronic logging device (ELD) hours-of-service records and state mileage reports. The role requires the ability to investigate discrepancies using critical thinking skills to identify issues within the logs, correct them, and educate drivers on how to avoid similar errors in the future. This position assists with additional clerical/administrative tasks including but not limited to CSA Compliance notifications and ELD Telematics reporting/notifications. A basic understanding of federal logging regulations and state mileage reporting requirements would be helpful but not required. The position also requires effective verbal and written communication with drivers, agents, and various internal SIRVA departments. In addition, this role will be responsible for adjudicating background checks on certified labor applicants, ensuring compliance with company standards and regulatory requirements. Over time, this position will expand to include additional administrative responsibilities, offering opportunities for growth and development within the team.

Requirements

  • 1–3 years of administrative or customer service experience
  • Familiarity with DOT regulatory compliance is a plus
  • Strong attention to detail and accuracy
  • Highly organized with the ability to manage multiple tasks
  • Effective verbal and written communication skills
  • Proficient in Microsoft Excel and Outlook, with strong overall computer and data management skills
  • Excellent time management and prioritization skills
  • Self-motivated and able to work independently
  • Strong critical thinking and problem-solving abilities

Responsibilities

  • Review and evaluate electronic logging device (ELD) hours-of-service (HOS) and mileage records that have been rejected for processing.
  • Identify and correct issues causing rejections, and re-submit records for electronic processing.
  • Apply critical thinking to investigate discrepancies in logs, resolve errors, and ensure compliance with federal and state regulations.
  • Process CSA Warning Notices and send to Agents/Drivers. Track responses to ensure action plans are received from Agents.
  • Process ELD Telematics warning notifications and send to Agents/Drivers.
  • Monitor trends and reasons for ELD HOS and fleet mileage record rejections.
  • Provide guidance and training to agents and drivers to address common or recurring errors.
  • Communicate effectively to educate drivers on proper logging practices and regulatory requirements.
  • Review and adjudicate background checks for certified labor applicants.
  • Ensure all applicants meet company standards and regulatory compliance before approval.
