About The Position

This position is responsible for supporting the coordination, development, and implementation of occupational health and safety policies and programs to help maintain a safe and compliant work environment. The Safety Coordinator Assistant helps with identifying workplace hazards, tracking corrective actions, supporting safety training and orientation sessions, and maintaining safety documentation and records. This role works closely with the Safety Coordinator and other departments to promote a strong culture of safety, support compliance with regulatory requirements, and reinforce company safety policies and procedures across daily operations.

Requirements

  • High School Diploma/GED equivalent.
  • Basic knowledge of occupational health and safety principles and OSHA regulations (or willingness to learn).
  • Strong attention-to-detail and accuracy when maintaining safety records, reports, and documentation.
  • Effective written and verbal communication skills for interacting with employees, supervisors, and management.
  • Organizational and time-management skills with the ability to prioritize multiple tasks and deadlines.
  • Ability to follow established safety procedures and support compliance initiatives.
  • Analytical skills to help identify hazards, trends, and areas for safety improvement.
  • Proficiency with basic computer applications (e.g., Microsoft Office, spreadsheets, databases, and email).
  • Ability to assist with training coordination, scheduling, and recordkeeping.
  • Problem-solving skills and the ability to escalate safety concerns appropriately.
  • Professional judgment and discretion when handling sensitive or confidential information.
  • Ability to learn safety management systems, reporting tools, and training platforms (e.g., ISN or similar systems).
  • Physical ability to participate in workplace inspections, including walking job sites and observing work practices.
  • Strong interpersonal skills with the ability to promote a positive safety culture.
  • 0-2 years of experience in occupational health and safety, industrial safety, or a related field.
  • Entry-level candidates with relevant education, internships, or safety-related training may be considered in place of direct experience.

Nice To Haves

  • Associate’s Degree in Business Administration, Public Health, or Occupational Health and Safety; or equivalent combination of education and experience is a plus but not required.
  • Certifications in First Aid/CPR/AED or OSHA 30 for safety awareness preferred.
  • Prior experience in an administrative, compliance, or coordinator support role is helpful but not required.
  • Experience in manufacturing, construction, warehousing, field services, or similar environments is a plus.
  • On-the-job training and mentorship from the Safety Coordinator are expected as part of role development.

Responsibilities

  • Assist the Safety Coordinator and management with the development, implementation, and maintenance of safety policies and procedures.
  • Support compliance efforts with all applicable federal, state, and local safety regulations, codes, and standards.
  • Help maintain OSHA-required logs, records, and reports, ensuring accuracy and timely submission.
  • Assist in identifying workplace hazards and recommending measures to reduce injuries, accidents, and occupational health risks.
  • Participate in routine safety inspections and audits to help evaluate compliance with safety programs.
  • Assist with inspecting and monitoring safety equipment and reporting repair, replacement, or upgrade needs.
  • Provide administrative and technical support to the company Safety Committee, including meeting preparation and documentation.
  • Support the organization and delivery of safety training during New Hire Onboarding.
  • Assist with coordinating and preparing materials for monthly All-Employee Safety Meetings at company locations.
  • Help schedule and track OSHA-required annual safety training sessions.
  • Assist with managing and delivering in-house ISN training for employees performing field work at vendor locations.
  • Support incident, accident, and near-miss investigations by gathering information, documenting findings, and tracking corrective actions.
  • Perform other duties as assigned.
  • Consistently follow and promote company safety policies, procedures, and best practices.
  • Actively support the Safety Coordinator in daily safety operations and initiatives.
  • Maintain accurate, organized, and up-to-date safety records, reports, and documentation.
  • Demonstrate attention-to-detail when tracking incidents, corrective actions, and training requirements.
  • Communicate effectively with employees, supervisors, and management regarding safety-related matters.
  • Participate in safety inspections, audits, and investigations assigned.
  • Assist with the coordination and scheduling of safety training and meetings.
  • Respond promptly and professionally to safety concerns, questions, or incidents.
  • Show initiative in identifying potential hazards and reporting them to the Safety Coordinator.
  • Maintain confidentiality when handling employee information and incident documentation.
  • Stay informed on basic OSHA and workplace safety requirements relevant to the organization.
  • Work collaboratively with HR, supervisors, and other departments to support safety and compliance efforts.
  • Demonstrate reliability, accountability, and follow-through on assigned safety tasks.
  • Be open to learning, feedback, and ongoing professional development in occupational health and safety.
  • Maintain punctual, regular, and predictable attendance.
  • Work collaboratively in a team environment with a spirit of cooperation.
  • Respectfully take direction from manager.
