About The Position

The Safety Admin Coordinator at Caravan Facilities Management is responsible for coordinating the Environmental Health and Safety (EHS) Program while providing administrative support to the Site Manager and Supervisors. This role involves managing safety documentation, conducting training, and ensuring compliance with safety regulations and standards.

Requirements

  • Experience with ISO 14001 and OHSAS 18001 standards.
  • Strong organizational skills and attention to detail.
  • Ability to communicate effectively with various stakeholders.
  • Experience in conducting safety training and audits.
  • Proficient in administrative tasks such as documentation and payroll processing.

Responsibilities

  • Coordinates the Environmental Health and Safety Program.
  • Provides administrative support to the Site Manager and Supervisors.
  • Performs weekly payroll summary and submits to corporate payroll for processing.
  • Assists managers and supervisors with employee documentation including written warnings and attendance warnings.
  • Assists with recruitment and interview processes as requested.
  • Compiles new hire paperwork and forwards completed documents to the corporate office.
  • Conducts new hire orientation and schedules training/safety training.
  • Maintains files, papers, and documents in appropriate files.
  • Investigates safety incidents, accidents, and near misses.
  • Conducts site EHS audits and audits Supervisor Safety Books for compliance.
  • Ensures compliance with federal, state, and local standards, including OHSAS 18001 and ISO 14001 requirements.
  • Develops working relationships with the union regarding safety issues.
  • Attends site EHS committee meetings to share information and assist site safety programs.
  • Produces and delivers written and verbal reports.
  • Conducts and documents job hazard analyses.
  • Assists in developing standardized work and pre-task safety plans.
  • Enforces all safety and environmental rules.
  • Tracks and schedules site training and licensing to ensure it is up-to-date.
  • Delivers required training programs for all employees and manages classroom environments.
  • Maintains supplier EHS documentation and ensures suppliers meet customer requirements.
