About The Position

Under the general direction of the Court Administration Director, manages the daily activities of assigned court clerk staff. Works closely with court leadership to provide staff assistance to the Municipal Courts. Exercises direct and functional supervision over assigned staff.

Requirements

  • Requires an Bachelor's Degree
  • Three (3) years of directly related supervisory and customer service experience
  • Ability to obtain a level I court clerk certification within 18 months of employment
  • A combination of education and pertinent experience may be considered
  • A valid driver's license is required
  • Successful out of state candidates must be able to obtain a valid Texas driver's license within 90 days of hire
  • Must have knowledge of collections and financial management processes and procedures.

Nice To Haves

  • Preference will be given to candidates with strong supervisory and customer service experience, prior court experience, collections, bilingual, and any level court clerk certification.

Responsibilities

  • Supervises staff, which includes prioritizing and assigning work, conducting performance evaluations, ensuring staff is trained, ensuring employees follow policies and procedures, maintaining a healthy and safe working environment, and making hiring, termination, and disciplinary decisions or recommendations.
  • Establishes schedules and methods for providing court clerk services; identifies and reviews resource needs with appropriate management staff and allocates resources accordingly, prepares weekly work schedules and reviews timesheets.
  • Monitors and evaluates the quality, responsiveness, efficiency and effectiveness of assigned service programs within the Municipal Court, including service delivery methods and procedures, and works with employees on the continued improvement of those services.
  • Plans, develops, implements, and refines policies, procedures, and programs to enhance the productivity of the Municipal Court.
  • Performs the more technical and complex tasks of the work unit, including creating reports, researching customer inquiries and complaints, and maintaining accurate and detailed records, files and warrants.
  • Responds to inquiries and concerns from the general public and court customers, and provides information regarding various court services.
  • Oversees and directs a variety of clerical functions in support of the municipal court.
  • Prepares analytical and statistical reports on operations and activities and weekly reports.
  • Responds to and resolves sensitive inquiries from both internal and external sources.
  • Reviews National Crime Information Center, Texas Crime Information Center, and Texas Department of Public Safety (NCIC/TCIC/DPS) databases for criminal histories, warrant records and driving records.
  • Updates NCIC/TCIC databases with warrant records and conviction records reported to DPS.
  • Measures and evaluates work performance of staff
  • Ensure staff have knowledge of applicable laws and how they apply
  • Must be able to process payments made by defendants
  • Complete daily and monthly audits of cash drawers; verify cash, checks and credit card payments daily and prepare court deposits
  • Monitor, assist, and ensure the accurate maintenance of all court records
  • Maintain docket calendar in Court system
  • Ensure collections calls and notices are processed timely and efficiently, and documented in the court's system
  • May be asked to perform other duties as assigned.
