About The Position

The Risk Management Associate is responsible for assisting with the development and distribution of educational materials, procedures, facility inspections, forms, and other safety-related initiatives. This role includes clerical support, records management, and training. The Associate will conduct safety inspections, provide recommendations to ensure compliance with YMCA standards and regulatory requirements, and respond to inquiries regarding safety and risk management policies, procedures, and regulations. Administrative support for the Risk Management Department is also a key responsibility.

Requirements

  • 21 years or older
  • Ability to interpret a variety of instructions furnished in written, oral, diagram and/or schedule form.
  • Excellent oral and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to effectively present information, make recommendations, and respond to questions from management and center personnel.
  • Demonstrated ability to prioritize workflow while maintaining attention to detail.
  • Proficient with MS Office.
  • Ability to read, analyze and interpret general periodicals, professional journals, technical procedures and/or governmental regulations.
  • Ability to write reports, business correspondence and procedure manuals.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Current YMCA approved CPR/First Aid/AED Certification (must obtain within 60 days of hire and maintain in good standing).
  • Successfully Live Scan with the Department of Justice and become a Custodian of Records within 90 days.
  • Must attend other training and job development services as required by the VP of Risk Management and the YMCA of Metropolitan Los Angeles.
  • Reliable transportation for regular travel across LA County to YMCA community centers, program sites, and partner locations.
  • Physical, visual, and auditory ability to perform the essential functions of the job with or without reasonable accommodation.

Responsibilities

  • Create reports and conduct analysis of accident causes, trends and hazards for use by YMCA personnel and outside agencies.
  • Assist the VP of Risk Management with the development of safety practices and procedures in compliance with YMCA, local, state and federal Occupational Safety and Health Administration (OSHA) rules and regulations and other consensus standards.
  • Lead or provide support in the administration of regulatory compliance in the areas of: Emerging local, state, and world health concerns. Local, state and federal OSHA safety rules and regulations EHS program Transportation.
  • Responsible for preparing, maintaining, and updating policy and procedure manuals.
  • Ensure compliance with all health and safety regulations, and keep abreast of any changes to laws and regulations that impact the organization.
  • Provides technical interface and support to various departments.
  • Inspect and/or tour centers, child care sites, camp sites, and other YMCA property to detect existing or potential safety and health hazards, and provide recommendations for corrective or preventative measures where necessary and as needed.
  • Conduct annual safety audits.
  • Assist with documentation of investigations of incidents and injuries and cooperate in the preparation of materials and evidence for organization use in hearings, lawsuits, and insurance investigations.
  • Create instructional training programs, resources, materials, templates, and program content for association Safety Chairs, as well as for Safety Cluster and All Staff Safety Meetings.
  • Assist in the administration and maintenance of Live Scan Fingerprinting/background screening procedures.
  • Assist with claims administration, loss prevention and risk management functions, as necessary.
  • Handle legal and confidential documents with care and attention to detail and privacy.
  • Interpret and analyze basic data and offer conclusion, interpretation, and recommendations.
  • Is the liaison for transportation and the Association Transportation Coordinator.
  • Review incident reports and provide follow up with staff to correct issues.
  • Model relationship building skills in all interactions.
  • Ensure administrative support for VP of Risk Management and Risk Management department is provided as needed.
  • Respond to all staff inquiries expeditiously, and within 24 hours, when possible.
  • Prepare and process correspondence and other documentation.
  • Run copies, mail letters, filing, make necessary phone calls and maintain file updates & records.
  • Learn the association emergency procedures. Respond promptly and appropriately.
  • Ensure continuity of excellent, respectful, courteous working partnerships with all center staff and leadership.
  • Fulfill any other job-related responsibilities assigned.
  • Attend staff meetings and training as required.
  • Uphold YMCA policies for safety, supervision, mandated reporting and risk management.
