About The Position

The Risk Department Coordinator plays a critical administrative and logistical role, serving as the frontline contact for all new workers’ compensation claims. This position is vital for the efficient flow of claims processing, requiring exceptional organizational skills, meticulous attention to detail, and a commitment to assisting our injured drivers and internal adjusters.

Requirements

  • Minimum of an Associates Degree in Business or a related healthcare field.
  • At least 2 years of demonstrated administrative experience in a fast-paced professional office environment.
  • Exceptional organizational skills and a commitment to providing excellent internal and external customer service.
  • Clear and effective written and verbal communication skills, including professional correspondence via phone, typed documents, and email.
  • Meticulous attention to detail and a desire to exceed internal and external service expectations.
  • Strong time management skills and a proven ability to complete work in a timely, accurate, and thorough manner.
  • Proven ability to maintain confidential information and uphold strict privacy considerations.
  • Ability to multitask effectively, managing various competing duties and priorities.
  • Proven ability to be a versatile, self-sufficient contributor who can manage individual tasks with minimal oversight while collaborating effectively with a team to achieve shared goals.
  • Proven proficiency with the Google Workspace suite (Docs, Sheets, Gmail) and a strong aptitude for utilizing office information systems.

  • Previous experience in a high-volume call center or similar customer service environment is highly desirable.

Responsibilities

  • Serve as the initial point of contact for new workers’ compensation claims, conducting critical intake interviews and logging all required initial data.
  • Perform initial claim triage and assessment prior to assignment to a dedicated Adjuster, ensuring timely hand-off.
  • Facilitate necessary logistics for injured drivers, coordinating arrangements for light duty, treatment at a terminal, or arrangement for home-based care/benefits.
  • Manage the complete file setup process, ensuring all preliminary claim files are organized, documented, and prepared for the Adjuster's takeover.
  • Execute timely reporting of out-of-state claims to the Third-Party Administrator (TPA), maintaining ongoing follow-up and meticulous documentation of each claim file.
  • Provide reliable phone support and backup for the Risk intake department, managing high-volume communication.
  • Efficiently process claim-related correspondence from a shared inbox, which includes processing medical bill payments, managing attachments, and ordering necessary police reports and other items.
  • Provide comprehensive administrative support to Adjusters, including file documentation, preparing files for litigation, managing file closure, and other assigned tasks.
  • Contribute to and successfully complete special projects and critical administrative tasks as assigned by Risk Supervisors.
  • Ensure strict compliance with all applicable company policies and legal procedures.
  • Perform various other duties as requested.
